OPEN RECORDS DATA RETRIEVAL
October 30, 2008
Attn: City of Santa Ana, CA
Building Department
RE: OFFICIAL OPEN RECORDS REQUEST
Dear Bob DePrat,
NOV 0 4 2008
CWN of Sslta Ant!
Pursuant to the state open records law, Cal. Gov't Code Secs. 6250 to 6276.48,1 am writing to request a full copy of all
residential and commercial building permits and inspections stored in electronic form by your office from January 1,1990
to July 31, 2008. This class of data is considered public record under Cal. Gov't Code Secs. 6250 to 6276.48. If your office
does not maintain these public records, please contact me with the proper custodian's name and address.
Data Requested: More specifically, I am requesting a copy of the electronic legacy data maintained by your
office (similar to a "back up" copy of the data) from January 1,1990 to July 31, 2008 in the preferred format of
a Microsoft Excel spreadsheet:
• Commercial, residential, apartment and mobile home building permit and inspection records
including all building, mechanical, electrical, roofing, plumbing, energy, demolition, remodeling,
move, pool, master permits and sub -permits.
• Any subsequent Inspection Records for the above permits.
• Please include all fields associated with the permit and inspection record including, but not limited to:
permit number, address, permit type, status, dates, descriptions/notes, valuation, and contractor
information.
Timeline: I request your response within ten (10) days as outlined in Sec. 6253(c).
Cost: I agree to pay any reasonable copying, deliverable media and postage fees of not more than $200.00. If the
cost would be greater than this amount, please notify me. Please provide a receipt indicating the charges.
In my experience from requesting this same information from over five hundred local governments, delivering an
electronic copy of this information is not an excessively time-consuming endeavor. Your IT staff makes backups of your
data, and all that is needed to satisfy this request is a copy of the latest backup.
Please be advised that any abbreviation, delay, or denial of this request must be accompanied by a written explanation
including a reference to the specific statutory exemption(s) upon which you rely. Also, please provide all segregable
portions of otherwise exempt material. I would note that willful violation of the open records law can result in the award
of court costs and reasonable attorney fees. See Sec. 6259(d).
Please feel free to contact me with any questions at 877-768-4707 or aundquist@openrecordsdataretrieval.eom.
Sincerely,
Adam Lundquist
