REQUEST FOR <br />COUNCIL ACTION <br />CITY COUNCIL MEETING DATE: <br />OCTOBER 2, 2018 <br />TITLE: <br />CONTRACT AMENDMENT WITH <br />RACEWAY FORD FOR ONE <br />MAINTENANCE UTILITY TRUCK <br />(SPECIFICATION NO. 18-011) <br />(STRATEGIC PLAN NO. 6,2) <br />C 1'Y MANAGER <br />RECOMMENDED ACTION <br />CLERK OF COUNCIL USE ONLY: <br />APPROVED <br />❑ As Recommended <br />❑ As Amended <br />❑ Ordinance on 1s' Reading <br />❑ Ordinance on 2nd Reading <br />❑ Implementing Resolution <br />❑ Set Public Hearing For <br />CONTINUED TO <br />FILE NUMBER <br />Amend the contract with Raceway Ford for the procurement of one additional Ford F-350 truck <br />with utility body in the amount of $56,855, subject to non -substantive changes approved by the <br />City Manager and City Attorney. <br />DISCUSSION <br />The Finance and Management Services Agency, Facilities, Fleet Maintenance and Central <br />Stores Division is responsible for the acquisition, maintenance, repair, and replacement of <br />vehicles, trucks, and maintenance equipment. The Public Works Agency Water Resources <br />Division has a need to replace an old temporary 2002 Chevrolet cargo van that is assigned to the <br />Water Quality and Meter Services division. Due to the age of this van, it requires excessive <br />maintenance repairs, which results in lower productivity of Water Resources Division staff and <br />increased expenditures to Fleet Services. The new Ford F-350 truck will include a utility body <br />work to store and transport tools, equipment and supplies to provide on-going maintenance <br />needs of the City's water infrastructure. <br />Outreach Efforts <br />In an effort to provide an opportunity to local vendors to participate in the original solicitation, the <br />bid specifications called for a General Motors truck. Additionally, five Santa Ana vendors were <br />notified of the upcoming Invitation for Bid. Staff also reached out to qualified vendors. Ultimately, <br />the City only received one bid. <br />On May 1, 2018, City Council awarded a contract to Raceway Ford for the purchase of four Ford <br />F-350 trucks with utility body. Raceway Ford has agreed to honor the same pricing for an <br />additional Ford F-350 truck with the same specifications. This pricing represents the best value to <br />the City. <br />22A-1 <br />
