FOR VMWARE <br />MAINTENANCE SUPPORT RENEWAL <br />(SPECIFICATION NO. 19-027) <br />(STRATEGIC PLAN NO. 6,1) <br />CITY MANAGER <br />RECOMMENDED ACTION <br />CLERK OF COUNCIL USE ONLY: <br />a•'C• _o <br />❑ As Recommended <br />❑ As Amended <br />❑ Ordinance on 1s' Reading <br />❑ Ordinance on 2nd Reading <br />❑ Implementing Resolution <br />❑ Set Public Hearing For_ <br />CONTINUED TO <br />FILE NUMBER <br />Authorization to increase aggregate amount with vCloud Tech, Inc. by $15,800 for an annual <br />amount not to exceed $40,800, for a one-time payment of purchase order for VMWare maintenance <br />support, subject to non -substantive changes approved by the City Manager and City Attorney. <br />Funds have been accounted for in the Information Technology Data Center account. <br />DISCUSSION <br />The City Hall and Police Department data centers house approximately thirty (30) physical <br />computer servers and more than two hundred eighty (280) virtual servers. These servers host a <br />number of enterprise and department applications such as the financial management system, <br />payroll system, utility billing system, business tax system, information technology service <br />management system, content management system, the City website, and email system. These <br />systems and services are critical to the operations of the City. In 2008, as part of the strategic plan, <br />the Information Technology Department took advantage of virtualization technology which enables <br />one physical server to run multiple virtual computer servers. This is accomplished by utilizing <br />specialized software, through a company named VMWare, to simulate physical computers. The <br />use of virtualization technology is an innovative strategy, and a best practice, that continues to <br />reduce hardware cost, power consumption costs, and provide a more flexible and reliable computer <br />hosting environment. <br />Ongoing licensing and support by an authorized VMWare reseller is required in order to continue <br />using this software, as well as to maintain the stringent service levels required for the data centers <br />at City Hall and Police Department. VMware software support contract will provide manufacturer <br />software maintenance and support services, on-call technical support, 24 hours per day / seven <br />days a week telephone support, and software upgrades at no additional cost. <br />22A-1 <br />
