REQUEST FOR <br />COUNCIL ACTION <br />CITY COUNCIL MEETING DATE: <br />JULY 2, 2019 <br />TITLE: <br />APPROVE A CONTRACT AMENDMENT <br />WITH COMMERCIAL CLEANING SYSTEMS <br />FOR JANITORIAL SERVICES AT VARIOUS <br />CITY FACILITIES IN THE AMOUNT OF <br />$236,000 <br />(SPECIFICATION NO. 14-021) <br />(STRATEGIC PLAN NO. 6, 1, C) <br />CLERK OF COUNCIL USE ONLY: <br />APPROVED <br />❑ As Recommended <br />❑ As Amended <br />❑ Ordinance on 1s' Reading <br />❑ Ordinance on 2nd Reading <br />❑ Implementing Resolution <br />❑ Set Public Hearing For <br />CONTINUED TO <br />s FILE NUMBER <br />CITY M NAGER <br />RECOMMENDED ACTION <br />Amend the contract with Commercial Cleaning Systems for janitorial services in the amount of <br />$236,000, for a new total annual amount not to exceed $973,074, and extend the term by four <br />months for a new contract expiration date of October 31, 2019, subject to non -substantive <br />changes approved by the City Manager and City Attorney. <br />DISCUSSION <br />Facility management recently transitioned from the Finance and Management Services Agency <br />to the Public Works Agency. Public Works Agency oversees City facilities in order to maintain <br />clean, safe, and properly functioning buildings. Janitorial services for City Hall, Ross Annex, <br />Santa Ana Regional Transportation Center, Corporation Yard, Santa Ana Main Library, Newhope <br />and McFadden Learning Centers, and six recreation centers are provided by a combination of <br />City staff and a janitorial service contract. <br />On June 17, 2014, the City Council approved the execution of a three-year agreement with <br />Commercial Cleaning Systems with two one-year renewal options to provide janitorial services at <br />the City facilities referenced above. The term of the agreement commenced on July 1, 2014, and <br />will expire on June 30, 2019. To ensure the continued services, staff recommends extending the <br />current agreement terms on a month -to -month basis while staff evaluates the level of service <br />needed and to allow for a new Request for Proposals (RFP) to be issued. Staff anticipates <br />releasing an RFP for janitorial services in the next thirty days. <br />22B-1 <br />
