Seek <br />Meetings <br />Project Manager(s) <br />approval for changes to Project <br />Plan. <br />4.2. Work Management Approach <br />Work will be managed through the use of the Project Schedule. The SmartWorks Project Manager will <br />have the responsibility to create and maintain the Project Schedule for the modules and integrations listed <br />in this Statement of Work. It is expected that Customer Project Manager will work in conjunction with the <br />SmartWorks Project Manager to ensure that key Customer activities that impact the project are also <br />contained in the Project Plan. <br />During and after the User Acceptance Testing in the Testing phase, the SmartWorks TeamSupport solution <br />will be used to track project issues such as bugs or other lower level action items. The Entire Project Team <br />(SmartWorks / Customer) will have access to TeamSupport. <br />4.3. Change Management Approach <br />This document serves as the complete understanding, between Customer and SmartWorks, as to what <br />the current Statement of Work entails. Customer and/or SmartWorks may propose changes to the scope <br />of work defined in this document ("Change"). The Change Order Form (Appendix A) must be used for all <br />Change Requests. SmartWorks shall have no obligation to commence work in connection with any change <br />until the fee and schedule impact of the change is agreed upon in a written Change Order Form signed by <br />the designated representatives from both Parties. <br />Upon a request for a change, SmartWorks shall submit the standard Change Order Form describing the <br />change, including the impact on the schedule, budget, scope and expenses. The Change Management <br />Process that will be employed is defined below: <br />• Identify and document proposed change <br />• Assess impact of proposed change <br />• Estimate required effort / cost of proposed change <br />• Submit Change Order for Approval / Disapproval <br />• Communicate Change Order Decision <br />• If Change Order is Approved: <br />o Assign responsibility <br />o SmartWorks to update Project Plan as needed <br />o If there are project delays due to Change Request, SmartWorks may create <br />subsequent Change Requests to address those delays <br />o Monitor and report progress <br />City of Santa Ana —SmartWorks Statement of Work <br />2 5 H -71 Page 64 <br />
