• Identify and rename each document to a standard file naming convention <br />4. Activity Log Documentation for each Applicant -tracking an application's status <br />• Export from Submittable .xlsx file of full activities for the life cycle of the application <br />including notes, applied labels and status <br />• Convert file from CSV to PDF. One PDF file per applicant. <br />5. Merge initial supporting documentation files submitted at time of initial application; those <br />submitted during the follow-up process and the activity log into one main folder for each <br />application using a standard file naming convention. <br />6. Check Register <br />• Complete list of each applicant awarded a grant <br />o Data will be an .xlsx file <br />o Data will be cleansed to ensure data is accurate, complete, and searchable <br />o Unique identifier of each applicant used to search all documents related to the <br />application <br />PDF of check register reflecting all checks issued to each applicant awarded a grant <br />Reconciliation of receipts from the City and checks issued to the applicant awarded a grant <br />Data and documents files will be delivered to the City of Santa Ana's Information Technology (IT) <br />Department by Consultant via a "Cloud -Based Storage Solution" or a physical hard -drive depending <br />on the ultimate size of the data. The City's IT Department will then perform a mass upload of <br />delivered document files into Laserfiche, the City's documentation retention system. <br />• Consultant will provide or reimburse City for the cost of a Laserfiche Import Agent and Import <br />Agent Support for a seven (7) month period. <br />Deliverable Date: April 30, 2021 or earlier if the project is completed sooner. <br />2 1 P a g e <br />
