Parks, Recreation, and Community Services <br />www.santa-ana.org/parks <br />Item # 30 <br />City of Santa Ana <br />20 Civic Center Plaza, Santa Ana, CA 92701 <br /> Staff Report <br />June 6, 2023 <br />TOPIC: Amendment to Agreement with California Barricade Rentals, Inc. for Traffic <br />Control Equipment and Services at City Events <br />AGENDA TITLE <br />Amendment to Agreement with California Barricade Rentals, Inc. for Traffic Control <br />Equipment and Services at City Events to Remove the Annual Amounts and to Increase <br />the Total Agreement not-to-Exceed Amount by $65,000 through March 31, 2025, for a New <br />Total not-to-Exceed Amount of $215,000 (General Fund) <br />RECOMMENDED ACTION <br />Authorize the City Manager to execute an amendment to the agreement with California <br />Barricade Rentals, Inc. for traffic control equipment and services at City events to remove <br />the annual amounts and to increase the total agreement not-to-exceed amount by $65,000, <br />through March 31, 2025, for a new total not-to-exceed amount of $215,000, subject to non- <br />substantive changes approved by the City Manager and City Attorney. <br />DISCUSSION <br />On April 5, 2022, the City of Santa Ana awarded an agreement to California Barricade <br />Rentals, Inc. for traffic control equipment and services at City events. The award was <br />made through a competitive Request for Proposals process where California Barricade <br />Rentals, Inc. was selected. At the time the agreement was awarded, funding for the 5K <br />event had not been secured since the FY 2022-23 budget was approved in June 2022. <br />The current agreement was able to cover the amount for the April 2023 5K/10K event, but <br />an increase in the agreement is needed to accommodate events for the next fiscal year. <br />As part of the amendment, the Police Department expects to engage California <br />Barricade Rentals, Inc. for the City’s Easter Day Cruiser Event and other future Police <br />Department community events requiring these services. Of the $65,000 amendment, <br />$40,000 will be allocated to Parks and Recreation, while $25,000 will be allocated to the <br />Police Department. <br />FISCAL IMPACT <br />Funds are budgeted and available in the following accounts for the specified year. <br />Additionally, since the annual amounts are removed from the agreement, expenditure <br />amounts may differ from year to year, but will remain within the total agreement amount.
