(D City of Santa Ana <br />On -Call Engineering Services (RFP No. 23-030) <br />documents are correctly completed. This same checking process will also be used to <br />document actions taken for all comments made by City reviewers. <br />Our QA/QC procedures will be based on CWE's QMP and the City's standards and preferences. <br />To maintain consistency, all CWE team members will be required to comply with the QMP <br />requirements in addition to their own established procedures. The written QMP will be project - <br />specific and meet both City and CWE quality standards and procedures. As demonstrated in <br />the reference projects provided with the RFP, CWE will incorporate the City's quality control <br />procedures into the QMP including development of QA/QC checklists, discipline and <br />interdisciplinary checks, and calculation checks. Incorporating City procedures into CWE's <br />quality procedures results in a high -quality project that the City's Project Manager can easily <br />review for compliance. <br />The QMP will establish the necessary processes to accomplish the following: <br />The project is undertaken in accordance with good engineering practices that address all <br />requirements; <br />The documents, maps, models, reports, calculations, and other deliverables submitted to <br />the City are independently checked and back -checked; <br />A Document Control System is developed and maintained; and <br />Coordination is closely monitored. <br />Kickoff Meeting <br />The kickoff portion of the meeting is used to introduce City staff and consultant team members, <br />and to "redefine" the project to ensure that everyone has the same understanding of what is to <br />be achieved. During the meeting, those in attendance have the opportunity to introduce <br />themselves, state their role in the project, identify their most important goal(s) on the project, <br />and identify critical concerns or potential pitfalls. This meeting provides the project design team <br />an opportunity to establish rapport between the team members and a unified approach to the <br />project. We have found this process to be an effective method to ensure the consultant team <br />members are in tune with the client's real needs and objectives, and to allow everyone to <br />recognize the critical decisions and hurdles that will have to be addressed during the project. <br />Project Scheduling <br />The Project Manager for each Task Order will develop and use comprehensive project <br />schedules to regularly monitor progress and upcoming work items. This has proven successful <br />in keeping track of forthcoming critical issues and decisions. The Project Manager will keep the <br />City apprised of planned work, project progress, and deliverables. The Project Manager will <br />notify the City of any critical issues and changes in the anticipated project progress and delivery <br />of key programs. <br />Progress Meetings <br />Progress meetings will be held at intervals deemed appropriate by the City to bring the City up <br />to date on how the individual tasks are progressing as well as to discuss project concerns and <br />the schedule. Agendas and meeting summaries will be provided for the meetings scheduled <br />-13- CWE <br />
