Parks, Recreation, and Community Services <br />www.santa-ana.org/parks <br />Item # 25 <br />City of Santa Ana <br />20 Civic Center Plaza, Santa Ana, CA 92701 <br /> Staff Report <br />May 3, 2022 <br />TOPIC: Agreement with Valley Maintenance Corporation for Custodial Services of City <br />Park Restroom and Park Buildings <br />AGENDA TITLE: <br />Approve an Agreement with Valley Maintenance Corporation to Provide Custodial <br />Services of City Park Restrooms and Park Buildings for an Annual Amount not to exceed <br />$494,095 for Four Years and Total Agreement Amount of $1,976,380 (General Fund) <br />RECOMMENDED ACTION <br />Authorize the City Manager to execute an agreement with Valley Maintenance <br />Corporation to provide custodial services of City park restrooms and park buildings for an <br />annual amount not to exceed $494,095, which includes a 15% contingency, for a term <br />from June 1, 2022 through May 31, 2026 and total agreement amount of $1,976,380, <br />subject to non-substantive changes approved by the City Manager and City Attorney. <br />DISCUSSION <br />The Parks, Recreation and Community Services Agency (PRCSA) provides custodial <br />services at park restrooms and at various park buildings through a contractor. On <br />February 24, 2022, a Request for Proposals (RFP) for custodial services was advertised <br />on the PlanetBids, where 175 vendors were notified, 35 vendors downloaded the RFP <br />and five vendors submitted a proposal, two of which were considered non-responsive. <br />An evaluation committee reviewed and rated the proposals according to the criteria listed <br />in the RFP: Statement of Qualifications & References, Manner for Performing Services & <br />Schedule and Fee Proposal. The results of the RFP evaluation were as follows: <br />Company Score <br />Valley Maintenance Corporation 273 <br />Premier Property Preservation 262 <br />Universal Building Maintenance 262 <br />Based on the evaluation results the PRCSA proposes to enter into an agreement with <br />Valley Maintenance Corporation. Valley Maintenance Corporation is the current <br />contractor for these services and PRCSA is satisfied with their work.
