Parks, Recreation, and Community Services https://www.santa-ana.org/parks Item # 8 City of Santa Ana 20 Civic Center Plaza, Santa Ana, CA 92701 Staff Report June 1, 2021 TOPIC: Contract to Repair and Renovate Ballpark Fencing at Various Parks AGENDA TITLE: Award a Purchase Order Contract to Repair and Renovate Ballpark Fencing in an Amount Not to Exceed $272,750 (Specification No. 21-015) (General and Non-General Fund) RECOMMENDED ACTION Authorize a one-time purchase and payment of purchase order contract to renovate fencing at eight ballfields to J & A Fence in the amount of $272,750, subject to non- substantive changes approved by the City Manager and City Attorney. DISCUSSION An invitation for Bids to renovate the ballpark fencing at eight City parks (El Salvador, Delhi, Riverview, Rosita, Madison, Adams, Morrison and Heritage Parks) was advertised on March 24, 2021, on the City’s online bid and management publication system. A summary of the Invitation for Bids and bids received is as follows: 155 Vendors notified 9 Santa Ana vendor notified 26 Vendors downloaded the bid packet 7 Bids received 0 Bid received from a Santa Ana vendor The bids were received and opened on April 14, 2021, and evaluated (Exhibit 1). J & A Fence is the lowest, responsive to specifications, and meet the City’s requirements. ENVIRONMENTAL IMPACT There is no environmental impact associated with this action. FISCAL IMPACT Funds are budgeted and available in the following accounts, but due to the fact that the award of the purchase order is at the end of the fiscal year, the City does not expect expend the funds in Fiscal Year 2020-2021, and that departments have already submitted fiscal year 2021-2022 budget information a request to carryover funds in the accounts below will be submitted as part of the City-Wide carryover process. The citywide carryover
