Automated Agenda Management System <br />June 1, 2021 <br />Page 2 <br />1 <br />7 <br />7 <br />5 <br />information, and votes can be displayed in chambers or online <br />via the public portal. <br />PrimeGov Public <br />Portal <br />Integrated directly within the city’s website providing a <br />seamless look and feel. <br />PrimeGov Meeting <br />Viewer <br />Allows members of the council or boards and commissions to <br />participate in the meeting using their web-enabled device to <br />review, annotate and save notes on the agenda materials and <br />items on the agenda in the cloud. <br />PrimeGov Video Provides a high-definition live stream and on-demand viewing <br />for audio or video of meetings via the interactive agenda on <br />the public portal in which the events can be automatically <br />timestamped by activating an item on the Meeting Viewer. <br />PrimeGov Voting Provides a means for the members to record their vote during <br />a meeting and offers the ability to communicate the voting <br />process of agenda items to the public. <br />PrimeGov Historical <br />Import (Conversion) <br />Import historical data including utilization of a utility that has <br />been specifically developed to assist with streamlining the <br />conversion process. <br />PrimeGov <br />Core/Administration <br />Allows users and administrators to have an Agenda <br />Management Solution in the cloud with access from any <br />internet connections. All system settings and security are <br />managed and administered from the core. <br />PrimeGov API Laserfiche integration <br />Effective January 2021, the city went live with the pilot program and has allowed the city <br />to further strengthen its efforts towards greater transparency, accountability, public <br />information accessibility seven days a week. The contract with Prime Government <br />Solutions, Inc. will expire on June 25, 2021 and based on performance and pricing staff <br />recommends that Prime Government Solutions, Inc. continue to be the City’s provider of <br />said service. <br />ENVIRONMENTAL IMPACT <br />There is no environmental impact associated with this action. <br />FISCAL IMPACT <br />Upon approval of the FY 2021-22 Budget, funds will be available in the following <br />account: <br />01103017-62300 (COTC-Service Enhancement) in the amount $254,545 for the period <br />FY 2021-22 thru FY 2025-26, impact by fiscal year is as follows:
