Department of Education), including the Western Association of Schools and <br />Colleges, the Northwest Association of Colleges and Universities, the Middle <br />States Commission on Higher Education, the New England Association of <br />Schools and Colleges, the North Central Association of Colleges and Schools, <br />and the Southern Association of Schools and Colleges. <br />2. Workshops, seminars, conferences and similar activities, not identifiable as a <br />formal course of instruction within the curriculum of a recognized educational <br />institution, do not fall within the purview of this program but may be authorized <br />and funded by the interested department. <br />G. When an employee is required by their Department Head to attend a particular <br />course or seminar, the expense shall be borne entirely by the department. <br />7.3 Reimbursement <br />A. Reimbursement will be based on the cost of tuition, required <br />enrollment/registration fees, related miscellaneous fees (health, parking, student <br />union fees, equipment, etc.), all required texts/eBooks, and related materials for <br />each course. Additional expenses, such as meals and lodging are not reimbursable. <br />B. Costs for required texts are eligible for one hundred percent (100%) reimbursement <br />subject to the following conditions: <br />1. That a duplicate of the required text(s)/eBooks was unavailable for loan from <br />the departmental libraries prior to the commencement of course work; and <br />2. That any textbook(s) purchased by the City shall be submitted to the employee's <br />respective departmental library in order that such text(s) may be made available <br />to all employees. <br />C. The maximum tuition reimbursement is two thousand five hundred dollars ($2,500) <br />per fiscal year, which the employee may claim either as costs are incurred during <br />the year or as a single lump sum. The maximum tuition reimbursement applies to <br />any reimbursements provided in this article. <br />7.4 Procedures <br />A. An employee who desires to seek tuition reimbursement under the provisions of <br />this article must complete, in duplicate, an Application for Training and <br />Educational Assistance Form and submit it to their Department Head, including a <br />course schedule or description, prior to the commencement the class(es) or the <br />payment of fees for registration/tuition. <br />2022-2025 MOU City of Santa Ana & SEIU Full -Time Employees Unit Page 38 <br />
