Parks, Recreation, and Community Services Agency <br />www.santa-ana.org/parks <br />Item # 27 <br />City of Santa Ana <br />20 Civic Center Plaza, Santa Ana, CA 92701 <br /> Staff Report <br />January 21, 2025 <br />TOPIC: Third Amendment with A1 Party Rental for Event Equipment Rental Services <br />AGENDA TITLE <br />Third Amendment with A1 Party Rental for Event Equipment Rental Services at City <br />Events (General Fund) <br />RECOMMENDED ACTION <br />Authorize the City Manager to execute an agreement amendment with A1 Party Rental <br />for event equipment rental services at City events to increase the annual amount by <br />$50,000 through March 31, 2025, for a new agreement total of $590,000 (Agreement No. <br />A-2025-XXX). <br />GOVERNMENT CODE §84308 APPLIES: Yes <br />DISCUSSION <br />On April 5, 2022, the City of Santa Ana awarded an agreement to A1 Party Rental for <br />equipment rental services at City Events. The award was made through a Request for <br />Proposal process where A1 was selected. <br />On October 4, 2022, an amendment was issued to increase the annual amount by $64,000 <br />per year through March 31, 2025 to accommodate the additional events that the Parks, <br />Recreation, and Community Services Agency (PRCSA) undertook. The size of City events <br />such as Fourth of July, Chicano Heritage Festival, Fiestas Patrias, Mid-Autumn, and Winter <br />Village continues to grow. On January 16, 2024, the City awarded an amendment to <br />increase the annual amount by $45,000 per year to cover the increase of existing and new <br />events. With each event growing yearly, the City is looking to increase the agreement <br />amount by $50,000 to accommodate the last event of the agreement, the Tet Festival. <br />ENVIRONMENTAL IMPACT <br />There is no environmental impact associated with this action. <br />FISCAL IMPACT <br />PRCSA has been able to identify funding in its Fees & Donations Contractual Services <br />account (02213200-62300) to support this increase, although PRCSA intends to request <br />additional General Fund dollars at the Mid-Year Update to provide for costs related to
