<br />shall comply with the provIsions of the Fair Employment and Housing Act <br />(Government Code Section 12990 (a-f) et seq.) and the applicable regulations <br />promulgated thereunder (California Code of Regulations, Title 2, Section 7285 et <br />seq.). The applicable regulations of the Fair Employment and Housing <br />Commission implementing Government Code Section 12990 (a-f), set forth in <br />Chapter 5 of Division 4 of Title 2 of the California Code of Regulations, are <br />incorporated into this Agreement by reference and made a part hereof as if set <br />forth in full. Contractor and its subcontractors shall give written notice of their <br />obligations under this clause to labor organizations with which they have a <br />collective bargaining or other agreement. <br /> <br />ARTICLE 5. <br /> <br />PROJECT ACCESS <br /> <br />The Grantee shall insure that the Board, or any authorized representative, will have suitable <br />access to the project activities, site(s), and staff at all reasonable times during project <br />implementation. <br /> <br />ARTICLE 6. <br /> <br />RECORDS <br /> <br />The Grantee shall establish an official file for the project. The file shall contain adequate <br />documentation of all actions that have been taken with respect to the project, in accordance <br />with generally accepted government accounting principles. <br /> <br />The Grantee shall establish separate accounting records and maintain documents, and other <br />evidence sufficient to reflect properly the amount, receipt, and disposition of all project funds, <br />including grant funds and any matching funds by the Grantee and the total cost of the project. <br />The maintenance requirements extend to books of original entry, source documents <br />supporting accounting transactions, the general ledger, subsidiary ledgers, personnel and <br />payroll records, canceled checks, and related documents and records. Source documents <br />include copies of all awards, applications, approved modifications, and required financial and <br />narrative reports. <br /> <br />Personnel and payroll records shall include the time and attendance reports for all individuals <br />reimbursed under the grant, whether they are employed full-time or part-time. Time and <br />effort reports are also required for consultants and contractors. <br /> <br />The Grantee shall maintain documentation for donated goods and/or services, including the <br />basis for valuation, if eligible under this Agreement. <br /> <br />Generally accepted government accounting principles and adequate supporting <br />documentation shall be maintained in such detail so as to provide an audit trail which will <br />permit tracing transactions from the invoices to the financial statement, to the accounting <br />records, and to the supporting documentation for the purpose of determining compliance with <br />PCC S 10115 et seq., GC S 8546.7 and 2 CCR S 1896.60 et seq. <br /> <br />Grantee agrees to protect records adequately from fire or other damage. When records are <br />stored away from the Grantee's principal office, a written index of the location of records <br />stored must be on hand and ready access must be assured.
