Work Plan. <br />For each scanning services engagement, Licensee will work with Licensor to develop a work <br />plan outlining the operations and logistics ofthe scanning and indexing work to be performed. <br />This includes defining the batching process, document scanning requirements, indexing <br />requirements, timing expectations, and other activities associated with the scanning service. Said <br />Work Plan shall be set forth in writing, executed by the Executive Director of the relevant <br />Agency, or his/her designee, and Licensor. <br /> <br />3. Preparation. <br />Licensor will perform the tasks necessary to prepare documents for scanning such as removal of <br />staples, fasteners, clips, sorting of double-sided, single-sided, and mixed-size documents, etc. <br /> <br />4. Scanning. <br />Licensor will perform scanning of documents at Licensor's location using Licensor's scanning <br />equipment. Licensor will set the scanner settings appropriately for optimal quality based on the <br />properties of the documents being captured. Licensee will identify desired scan resolution, up to <br />400 dpi, and bit-depth setting (black and white, grayscale). Licensor may need to adjust these <br />settings upward as necessary to achieve acceptable image quality. Licensee will provide <br />instruction on identifying the pages that make up a document (document separation). <br /> <br />5. Indexing. <br />For each document, Licensor will use information associated with the document to populate a set <br />of index template fields, name the document, and file the document in a folder. Licensee will <br />provide instructions on where to find the information associated with each document for this <br />purpose. Documents may contain I or more pages. <br /> <br />The number of characters included (allotied) for indexing in the standard rate is up to 10 per <br />page averaged over the total number of pages scanned during the engagement. For example, if <br />each document being scanned in the engagement contains exactly 5 pages, 50 characters of <br />indexing would be included. If the documents being scanned contain a variable number of <br />pages, then the total pages scanned divided by 10 would determine the allotted indexing <br />characters included for the engagement. Selection of values from a drop-down list is counted as <br />I character. Licensor will keep track of the index characters used, and Licensor may charge a <br />per-character surcharge for characters entered over the allotment for the engagement. <br /> <br />The following do not count towards the allotment of indexing characters. <br />.
