REQUEST FOR <br />COUNCIL ACTION <br />CITY COUNCIL MEETING DATE: <br />JANUARY 7, 2008 <br />TITLE: <br />AGREEMENT WITH ABLE BUILDING <br />MAINTENANCE COMPANY FOR <br />JANITORIAL MAINTENANCE SERVICES <br />-F-------.~ <br />CITY MANAGER <br />RECOMMENDED ACTfON <br />CLERK OF COUNCIL USE ONLY: <br />APPROVED <br />^ As Recommended <br />^ As Amended <br />^ Ordinance on 151 Reading <br />^ Ordinance on 2"d Reading <br />^ Implementing Resolution <br />^ Set Public Hearing For_ <br />CONTINUED TO <br />FILE NUMBER <br />Authorize the City Manager and Clerk of the Council to execute the attached <br />agreement with Able Building Maintenance Company for police and jail <br />facility janitorial services in an annual not to exceed amount of $407,000 <br />for a three-year term with two optional one-year renewals, subject to non- <br />substantive changes approved by the City Manager and City Attorney. <br />DISCUSSION <br />In September 2007, requests for proposals (RFP) were sent to fourteen <br />vendors for janitorial maintenance services at the Police Department and <br />Jail Facility. Nine proposals were received and evaluated for compliance <br />with minimum requirements, overall responsiveness to the RFP, experience <br />and references, and total project cost. The results of the evaluation <br />(Exhibit A) indicate the proposal from Able Building Maintenance Company as <br />the most responsive and meets the City's requirements. <br />The agreement (Attachment 1) provides for equipment, supplies, and <br />maintenance of the Police Department and Jail Facility with an on-site <br />supervisor. Staff recommends executing this three-year agreement, with two <br />additional one-year renewal options in an annual amount not to exceed <br />$407,000 for the first year, plus proposed increases for the second and <br />third years. The total amount also includes an additional $10,000 annually <br />for additional as-needed services. <br />FISCAL IMPACT <br />Funds are available in the Police Department's Building & Facilities <br />Division fund (account no. 11-350-6291). <br />APPROVED AS TO FUNDS AND ACCOUNTS: <br />~`~;~-. <br />Paul M.
