CITY will be provided with reason codes within the system to identify the <br />disposition, track all of the events and finally identify the reason for the action. Or <br />example, if the status of a citation reflects through the administrative record that a <br />hearing has been scheduled, the previous record would provide the details of the <br />administrative review. The information will include (but not be limited to): dates, status, <br />reason, and review personnel. <br />PHOENIX GROUP will maintain these records and allow CITY access through on -line <br />inquiry. The administrative record will retain the following information: <br />1. Level of process - review, hearing, trial de novo, <br />2. Level of Disposition, UPHELD or DISMISSED, <br />3. Reason Code for decision (includes custom code availability), <br />4. Date of set -up and date of determination, <br />5. Time, <br />6. Reactivation date, <br />7. ID number for the review officer (police, hearing, staff personnel), <br />8. Comments. <br />A "Reason Code" would be included within the citation disposition of all citations for <br />later reference. Reason codes (including CITY defined codes) are provided in Section <br />a <br />The design of our system lends itself for variables and customization per CITY'S <br />specifications. The following is a suggested outline for the procedures. <br />2.25 Initial Administrative Review - Level one procedures <br />The first level is considered an administrative or investigative review. It is suggested <br />that CITY would conduct the Initial review and that the process is viewed as a local <br />v issue. The reason is due to the policies, politics, and the intimate general knowledge of <br />CITY that would be satisfied best locally. <br />43 <br />
