REQUEST FOR <br />COUNCIL ACTION <br />CITY COUNCIL MEETING DATE: <br />CLERK OF COUNCIL USE ONLY: <br />July 6, 2009 <br />TITLE: <br />AGREEMENT FOR FIRE ALARM <br />SYSTEMS MAINTENANCE AND TIME <br />CLOCK SUPPLIES WITH SIMPLEX <br />GRINNELL <br />APPROVED <br />^ As Recommended <br />^ As Amended <br />^ Ordinance on 15f Reading <br />^ Ordinance on 2"d Reading <br />^ {mplementing Resolution <br />^ Set Public Hearing For_ <br />t <br />rZ // ~C~,.-~----~...-- <br />CI Y ANAGER <br />RECOMMENDED ACTION <br />CONTINUED TO <br />FILE NUMBER <br />Authorize the City Manager and Clerk of the Council to execute the <br />attached agreement with Simplex Grinnell for a one year period with <br />provision for four one-year renewals, in an annual amount not to exceed <br />$65,000, subject to non-substantive changes approved by the City Manager <br />and City Attorney. <br />DISCUSSION <br />City facilities are equipped with fire alarm systems for the protection of <br />people and property. The alarm systems require inspection, preventive <br />maintenance and repair services to ensure continued operation. <br />Additionally, the alarm systems are tested regularly in accordance with <br />the State of California Fire Marshall regulation and National Fire <br />Protection Association rules. <br />On May 12, 2009, the City conducted a formal Request for Proposal process <br />to solicit offers from qualified firms to provide this service. A summary <br />of the RFP solicitations and the proposals received is as follows: <br />3 Request for Proposals issued <br />2 Proposals received <br />The proposals were reviewed by City staff and were found to provide <br />comparable service, with Simplex Grinnell proposal providing the most <br />favorable cost structure. This agreement provides the fire alarm <br />maintenance for approximately 40 City facilities at a cost of $40,000, <br />with a contingency of $20,000 to cover parts and repair services. <br />Additionally, $5,000 is included for Simplex time clock service and <br />supplies, as well as for new time clock purchases. <br />25E-1 <br />
