REQUEST FOR <br />COUNCIL ACTION <br />CITY COUNCIL MEETING DATE: <br />SEPTEMBER 08, 2009 <br />TITLE <br />AGREEMENT FOR CABLING SERVICES <br />CITY MANA ER <br />RECOMMENDED ACTION <br />CLERK OF COUNCIL USE ONLY: <br />APPROVED <br />^ As Recommended <br />^ As Amended <br />^ Ordinance on 1 ~` Reading <br />^ Ordinance on 2"~ Reading <br />^ Implementing Resolution <br />^ Set Public Hearing For <br />CONTINUED TO <br />FILE NUMBER <br />Authorize the City Manager and the Clerk of the Council to execute the <br />attached agreement with Pacific Coast Cabling to provide cabling services <br />for a two-year period with options to renew for two additional one-year <br />terms, in an amount not to exceed $95,000 per year subject to non- <br />substantive changes made by the City Manager and City Attorney. <br />DISCUSSION <br />In support of City operations, voice and data communications are provided <br />to all City service sites. This requires an extensive cabling <br />infrastructure. Cabling services are needed to support changes, <br />additions and moves at and between the City sites. This cabling work will <br />ensure that all City offices and work locations continue to stay <br />connected and can benefit from new information technology as it becomes <br />available. The City employs outside qualified vendors to perform needed <br />cabling services. <br />The City has standardized its cabling infrastructure with Avaya Systimax. <br />This was selected because of its durability and flexibility. When <br />installed by a certified cabling vendor, the product has a 20 year <br />warranty. Use of this reliable product has resulted in very low cable <br />maintenance costs for the City. The cabling vendor/s who provide/s such <br />services to the City of Santa Ana must meet strict manufacturer <br />certifications. <br />In June 2009, the City's Telecommunications Services unit issued a <br />Request for Proposal (RFP) for "Cabling Services." Formal legal notice <br />was posted on the City website on 06/16/09. The RFP was transmitted to <br />14 firms. After a 30 day response period, ending July 16, 2009, 10 <br />proposals were received. An evaluation team reviewed the proposals and <br />rated them according to an evaluation criteria set forth in the RFP. The <br />following is the ranking of the p~lp~sals: <br />
