Responsibilities and Compensation for Each Party <br />DOCVIEW LLC will deliver to Santa Ana Police Department (hereinafter referenced as <br />"the LEA") on or before August 1 st, 2011, the following goods: a Panasonic KV -S 1025C <br />scanner (or equivalent scanner if LEA has more than 1000 crash reports per calendar year <br />2010) or a Hewlett Packard 1040 Fax machine (or equivalent Fax machine if LEA has <br />less than 1000 or less crash reports per calendar year 2010). This equipment is for the <br />purpose of faxing or scanning paper crash reports to DOCVIEW LI -C's eCommerce <br />system. If LEA is exporting existing crash images, DOCVIEW LLC will install the <br />proprietary DocLink software to facilitate the exporting process. <br />2. The LEA will accept the sum of $20.00 for each report that is purchased by an insurance <br />company, or citizen from DOCVIEW LI -C's eCommerce System. Law Enforcement <br />Agencies have free access to the reports. This compensation will be provided to the LEA <br />from DOCVIEW LLC via check or direct deposit within 45 days of the actual download. <br />Within ten days (10) days of the end of each month, Consultant will provide to the City a <br />report of the number of police reports distributed for that month. LEA is allowed to <br />provide copies of crash reports directly to citizens, insurance companies and other entities <br />(public service departments, courts, traffic departments) and charge the crash report <br />recipient whatever fee that is deemed appropriate by the LEA. <br />3. The LEA will transmit (scan, fax or electronically send) traffic crash reports to the <br />DOCVIEW LLC eCommerce system on a daily basis, with the exception of Saturdays, <br />Sundays or any holiday in which employees assigned to transmitting traffic crash reports <br />for LEA are not working. It is the responsibility of the LEA to comply with State Laws <br />and Local Ordinances in regards to protecting the identity of individuals listed in the <br />crash report by either not transmitting the report to DOCVIEW LLC eCommerce system <br />or by redacting information on the crash report prior to transmitting. <br />4. Crash report images will be maintained by DOCVIEW LLC for a minimum of five (5) <br />years. Images older than five (5) years may be permanently deleted by DOCVIEW LLC <br />without prior notification to the LEA. LEA agrees that the eCommerce system <br />maintained by DOCVIEW LLC is not considered to be the official repository of images <br />for the LEA. <br />5. The LEA will direct all Insurance Companies for copies oftraffic crash reports to the <br />DOCVIEW LLC eCommerce System. <br />Claims <br />DOCVIEW LLC will provide a replacement scanner (Panasonic KV -S 1 025C scanner or <br />equivalent scanner) or a replacement Fax machine (Hewlett Packard 1 040 or equivalent <br />machine) if it fails to function properly within the first 30 days ofuse. <br />
