Santa Ana to develop a schedule in Microsoft Project that will serve as the primary <br />management reporting vehicle for project progress, and the coordination between the <br />technical work efforts, the environmental review, and the community outreach efforts. <br />After the baseline schedule is established, the schedule will be updated on a monthly <br />basis to assess progress. <br />TASK 1.3 PROJECT PROGRESS REPORTING <br />Reporting of cost and progress information must be timely, accurate, and easy to <br />understand. IBI will prepare and submit status reports on a monthly basis. The report <br />format will be customized for Santa Ana based upon Input at the kick-off meeting. <br />Typical monthly reports will consist of the following: <br />• Tasks accomplished during the work period <br />• Status of major milestones <br />• Percent of budget expended by task <br />• IBI, subconsultant, and Santa Ana action items <br />• Analysis of the critical path <br />• Current schedule of completion dates <br />TASK 1.4 MEETINGS WITH CITY STAFF, HEARINGS, AND <br />COMMUNITY MEETINGS <br />Stakeholder coordination and coordination with the advisory and policy bodies for the <br />City of Santa Ana will be an integral part of the project, along with community <br />acceptance of the project proposals. 1131 Group has budgeted for attendance at the <br />following meetings: <br />• Kick-off meeting and monthly progress meetings (%) <br />• Complete Streets coalition and community workshops (5) <br />• Planning Commission study sessions and hearings (4) <br />• City Council study sessions and hearings (3) <br />• ETAC study sessions, additional Board/Committee/Commission meetings (4) <br />• Meetings with OCTA and Caltrans (4) <br />131 will be responsible for incorporating these meetings into the overall project <br />schedule, timely distribution of agendas, and the preparation and distribution of <br />meeting notes and action items from each meeting. <br />2 <br />25A-12
