REQUEST FOR HOUSING <br />AUTHORITY ACTION <br />MEETING DATE: <br />AUGUST 1, 2011 <br />RECORDING SECRETARY USE ONLY: <br />APPROVED <br />TITLE <br />ANNUAL LICEN5E RENEWAL FOR <br />YARDI SYSTEMS, INC. <br />^ As Recommended <br />^ As Amended <br />CONTINUED TO <br />_ ~~ <br />INTER EXECUTIVE DIRECTOR <br />COMMON DEVELOPMENT AGENCY <br />RECOMMENDED ACTION <br />Authorize the Executive Director to execute an agreement for the licensing renewal and for <br />services or enhancements to the software with Yardi Systems, Inc. in an amount not to exceed <br />$55,000, subject to non-substantive changes approved by the Executive Director and Autharity <br />General Counsel. <br />COMMUNITY REDEVELOPMENT AND HOUSING COMMISSION RECOMMENDATION <br />At its Regular Meeting of July 19, 2011, by a vote of 6:0, the Community Redevelopment and <br />Housing Commission recommended that the Housing Authority authorize the Executive Director to <br />execute a license renewal and for services or enhancements to the software with Yardi Systems, <br />Inc. in an amount not to exceed $55,000, subject to non-substantive changes approved by the <br />Executive Director and Authority General Counsel. <br />DISCUSSION <br />The Housing Authority {Authority} currently uses specialized software in the administration of the <br />Housing Choice Voucher program. This software is critical to the operation of the Authority and its <br />obligation to electronically transfer data to the U. S. Department of Housing and Urban <br />Development (HUD). The Autharity approved an agreement in September 2002 with Yardi <br />Systems, Inc. for its Housing Choice Voucher program management software. This system tracks <br />all program information on applicants, tenants, and owners, schedules and maintains records on <br />ail Housing Quality Standards inspections, performs income and payment calculations, and <br />creates and transmits HUD-required reports. The annual license fee, which includes system <br />upgrades, software updates, all pertinent user manuals, staff training, and thirty-seven hours of <br />technical assistance, is due for October 1, 2011, through September 30, 2012. Under this contract, <br />Yardi Systems, Inc. will also host the software program to better streamline #echnical support. <br />~_.a <br />
