Set Public Hearing For_ <br />CONTINUED TO <br />FILE NUMBER <br />Award a contract to Safeway Sign Company for traffic signs, hardware and accessories for a one- <br />year period, with provisions for two one-year renewals in an amount not to exceed $100,000. <br />DISCUSSION <br />The Public Works Agency (PWA) Sign Maintenance Services Division maintains a wide array of traffic <br />and street name signs throughout the city. In the last fiscal period, 2,500 signs were replaced. The <br />U.S. Department of Transportation established new regulations for sign retro-reflectivity requirements <br />to improve safety on the highways and streets by replacing less reflective signs with signage that has <br />higher retro-reflectivity. The regulation includes a mandated replacement deadline of January 2015. <br />In order for PWA to comply with the new sign regulation, an increased schedule of sign replacement <br />has started. The materials necessary for ongoing sign maintenance operations including signs, <br />various sign posts and mounting hardware are purchased through the Central Stores warehouse for <br />distribution to PWA. <br />The notice inviting bids was advertised on August 22, 2011 and bids were solicited. A summary of <br />the bid invitations and bids received is as follows: <br />27 Invitations For Bid mailed <br />2 Invitation for Bid mailed to Santa Ana vendors <br />4 Bids received <br />Bids were received, opened on September 6, 20011, and evaluated (Exhibit 1). The bid received <br />from Safeway Sign Company is responsive to the specifications and meets the City's requirements. <br />22C-1
