EXHIBIT A <br />SCOPE OF SERVICES <br />Producer's duties include those services required to: 1) curate and secure a series of films; 2) negotiate <br />and book screening venues; 3) create /distribute all promotional materials; 4) manage collaborations / <br />community partnerships in providing the festival; 5) contract and manage festival staff; 6) direct all public <br />relations outreach efforts; and 7) visually document all Film Fiesta events for promotional use, as set forth <br />in Producer's Proposal, Attachment 1, hereto. <br />In fulfilling the duties set forth in the Proposal, Producer shall be responsible for: <br />A. Financial Operations and Management <br />1) Producer will be responsible for the payment of all costs associated with holding the <br />2012 Film Fiesta; including the cost of obtaining films, venues, talent, performers, all <br />equipment and support personnel, security, set up, clean up, sponsorship <br />acknowledgement, insurance, taxes, fees and any other costs involved in undertaking <br />the film festival. <br />2) Procure and pay for all goods and services associated with the Film Fiesta_ <br />3) Obtain appropriate event insurance coverage. <br />Logistics <br />1) Ensure that all aspects of the Film Fiesta are well- coordinated prior to, during and <br />immediately following the event, taking into consideration the dynamics and needs of <br />the downtown merchants, residents and invitees. <br />2) Ensure that all screening representatives and talent are invited in advance and that the <br />invitees attend the appropriate screenings. Provide accommodations as necessary. <br />3) Provide a quality experience for event visitors with minimal disruption and <br />inconvenience to the merchants and residents within the event boundaries. <br />4) Consider the needs of the downtown merchants and residents in the logistics planning <br />in order to prevent problems with vendor /merchant competition and disruption of <br />business, address the needs of downtown merchants in terms of booth placement, and <br />prevent late night noise and other disturbances and disruption for downtown residents. <br />5) Provide directional maps to screening venues . Submit the maps to PRCSA two weeks <br />prior to the start of the first screening. <br />6) The layout of each screening, including the placement of booths, stages, etc., shall be <br />submitted to City staff for approval, two weeks prior to Fiesta. <br />7) Secure adequate staffing and volunteers to ensure effective management of on -site <br />logistics, including a sufficient number of trained equipment technicians to handle on- <br />site logistical problems that may arise. <br />8) Attend meetings with PRCSA, its representatives and others as required for planning, <br />implementation, and evaluation of the Film Fiesta. <br />9) Negotiate and execute agreements as necessary to provide sound and lighting systems; <br />audio and video; staging and technology requirements; tenting; sponsor <br />signage /recognition; power, site security, etc. <br />1 O) Ensure that all sub - contract vendors have the capacity to adequately staff their areas of <br />responsibility, including on -site supervision. <br />11) Secure all necessary permits and /or licenses and submit to PRCSA two weeks prior to <br />the start of each screening. <br />12� Pay for all logistical costs. <br />G <br />
