REQUEST FOR <br />COUNCIL ACTION <br />CITY COUNCIL MEETING DATE: <br />SEPTEMBER 16, 2014 <br />TITLE: <br />CONTRACT AWARD TO <br />OLYMPOS PAINTING INC. <br />FOR WEST RESERVOIR <br />COATING SERVICES <br />(SPEC NO(. 14 -046) <br />CITY MANAGER <br />RECOMMENDED ACTION <br />CLERK OF COUNCIL USE ONLY: <br />r.W.,_,e]TA:I <br />❑ As Recommended <br />❑ As Amended <br />❑ Ordinance on I" Reading <br />❑ Ordinance on 2ntl Reading <br />❑ Implementing Resolution <br />❑ Set Public Hearing For <br />CONTINUED TO <br />FILE NUMBER <br />Award a contract to Olympos Painting Inc. for west reservoir coating services in an amount not to <br />exceed $144,900, subject to non - substantive changes approved by the City Manager and City <br />Attorney. <br />DISCUSSION <br />The Public Works Agency Water Systems Maintenance Division is responsible for operating and <br />maintaining the City's water system facilities. These facilities play a critical part in the delivery of <br />potable water to City residents. Coating services are necessary to prevent damage due to <br />normal use and exposure to the environment. This contract will allow for removal of the existing <br />coating and application of a new coating system to the west water reservoir. Coating services <br />will help maintain this important facility in good repair. <br />The notice soliciting bids was advertised on July 11, 2014 on the City's online bid management <br />and publication system. A summary of the solicitations and bids received is as follows: <br />13 Vendors notified <br />2 Santa Ana vendors notified <br />17 Vendors downloaded the solicitation <br />4 proposals received <br />0 Proposal received from Santa Ana vendors <br />Bids were received and opened on August 13, 2014 (Exhibit 1). The bid received from Olympos <br />Painting Inc. is responsive to the specifications and meets the City's requirements. Staff <br />recommends awarding a contract to the lowest responsive bid received. A five percent <br />contingency amount is included in the award amount. <br />22C -1 <br />
