REQUEST FOR <br />COUNCIL ACTION <br />CITY COUNCIL MEETING DATE: <br />APRIL 7, 2016 <br />TITLE: <br />CLERK OF COUNCIL USE ONLY: <br />ry:."0 <br />Q As Recommended <br />[J As Amended <br />(] ardinanceon1® eading <br />0 Ordinance on 2" Reeding <br />❑ Implementing Resolution <br />EJ set Public Hearing For <br />CONTINUED TO <br />FILE NUMBER <br />Award a contract to Safeway Sign Company for traffic signs, hardware, and accessories for a <br />one -year period, expiring April 30, 2016, in an amount not to exceed $150,000, with provisions for <br />two one -year renewals exercisable by the City Manager, subject to nonsubstantive changes <br />approved by the City Manager and the City Attorney. <br />DISCUSSiOiN <br />The Finance and Management Services Agency maintains a wide array of traffic and street name <br />signs for use by the Public Works Agency; the Parks, Recreation, and Community Services <br />Agency; and other City operations. [wring the last fiscal period, approximately 2,500 signs were <br />replaced by the Public Works Agency. The U.S. Department of Transportation established new <br />regulations to improve safety on the highways and streets by replacing less reflective signs with <br />signage that has higher retro- refleotivity, The signs, sign posts, and mounting hardware <br />necessary for ongoing sign maintenance operations purchased through the Central Stores <br />warehouse for distribution to the Public Works Agency Maintenance Services Division comply <br />with this new regulation. <br />The notice inviting bids was advertised on January 15, 2015, on the City's online bid <br />management and publication system. A summary of the bid invitations and bids received is as <br />follows: <br />10 Vendors notified <br />4 Vendors downloaded the bid packet <br />3 Bids received <br />Bids were opened on February 12, 2015, and evaluated by Purchasing Division staff (Exhibit 1), <br />The bid received from Safeway Sign Company is responsive to the specifications and meets the <br />City's requirements, <br />22A -1 <br />
