FOR <br />AUDIONIDEO EQUIPMENT (SPEC NO. 15- <br />054) <br />{STRATEGIC PLAN NO. 5, 1D) <br />CITY MANAGER <br />RECOMMENDED ACTION <br />CLERK OF COUNCIL USE ONLY: <br />•:• _D <br />❑ As Recommended <br />❑ As Amended <br />❑ Ordinance on 1e` Reading <br />❑ Ordinance on 2n" Reading <br />❑ Implementing Resolution <br />❑ Set Public Hearing For_ <br />CONTINUED TO <br />FILE NUMBER <br />Amend the contract with VMI Inc. to increase the aggregate limit by $5,000 for an annual amount not <br />to exceed $30,000, subject to non - substantive changes approved by the City Manager and City <br />Attorney. <br />DISCUSSION <br />The City operates a Public Education and Government (PEG) Channel, more commonly known as <br />CTV3, which broadcast government information and community programming, including the City <br />Council Meetings being broadcast live and on replay. Currently Council Committee Meetings are not <br />recorded or broadcasted. In order to increase the capabilities of recording audio and video in <br />Conference Room 1600, staff prepared a list of necessary equipment. As a result, bids were <br />solicited through the purchasing process and the lowest bid was selected as a reliable vendor. The <br />low bid amount was $18,218.25 not inclusive of tax or shipping. Prior equipment purchases <br />combined with this purchase order exceeds the $25,000 aggregate limit and requires Council <br />approval. <br />STRATEGIC PLAN ALIGNMENT <br />Approval of this item supports the City's efforts to <br />Engagement and Sustainability, Objective #1 <br />engagement initiative to expand access to informati <br />to play an active role in discussing public policy an <br />use of new technologies including marketing and <br />community in an effort to promote City programs and <br />meet Goal #5 Community Health, Livability, <br />(Establish a comprehensive community <br />on and create opportunities for stakeholders <br />d setting priorities), Strategy D (Expand the <br />social media to increase outreach to the <br />initiatives). <br />22E -1 <br />
