NO. 15 -077) <br />{STRAT�EGI P A N!;: } <br />J 70 <br />� C_/> <br />CITY MANAGER <br />RECOMMENDED ACTION <br />CLERK OF COUNCIL USE ONLY: <br />APPROVED <br />❑ As Recommended <br />❑ As Amended <br />❑ Ordinance on 1" Reading <br />❑ Ordinance on 2 I Reading <br />❑ Implementing Resolution <br />❑ Set Public Hearing For <br />CONTINUED TO <br />FILE NUMBER <br />Authorize a one -time purchase and payment of purchase order to Guaranty Chevrolet for the <br />acquisition of three Chevrolet Colorado trucks, in an amount not to exceed $85,605 subject to <br />non - substantive changes approved by the City Manager and City Attorney. <br />DISCUSSION <br />The Finance and Management Services Agency Facilities, Fleet Maintenance, and Central <br />Stores Division is responsible for the acquisition, maintenance, repair, and replacement of <br />vehicles, trucks, and maintenance equipment. The City's Vehicle Replacement Policy provides <br />guidelines and criteria for determining when vehicles need replacement. This criteria includes <br />vehicle age, mileage, maintenance costs, and safety history. As a result of reviewing the City's <br />replacement criteria, two compact trucks purchased in 2001, and one Chevy Blazer purchased in <br />2002 have been identified for replacement with mid -sized Chevy Colorado trucks. Two of these <br />trucks will be utilized by the Public Works Agency and one by the Parks, Recreation & <br />Community Services Agency. <br />The notice inviting bids was advertised on July 21, 2015, on the City's online bid management <br />and publication system. A summary of the bid invitations and bids received is as follows: <br />42 Vendors were notified <br />1 Santa Ana vendor was notified <br />1 Bid received <br />1 Bid received from a Santa Ana Vendor <br />The bid was opened on August 20, 2015. The bid received from Guaranty Chevrolet, a Santa <br />Ana vendor, is responsive to the specifications and meets the City's requirements. To allow for <br />unanticipated charges, an additional $5,000 contingency has been included in the award <br />amount. <br />22A -1 <br />
