REQUEST FOR <br />COUNCIL ACTION <br />CITY COUNCIL MEETING DATE: <br />DECEMBER 20, 2016 <br />TITLE: <br />AGREEMENT AMENDMENT WITH ACTIVE <br />NETWORK FOR MAINTENANCE AND <br />SUPPORT OF CLASS SOFTWARE <br />(STRATEGIC PLAN NO. 5,6C) <br />ti <br />CITY MANAGER <br />RECOMMENDED ACTION <br />CLERK OF COUNCIL USE ONLY: <br />❑ As Recommended <br />❑ As Amended <br />❑ Ordinance on 18' Reading <br />❑ Ordinance on 2nd Reading <br />❑ Implementing Resolution <br />❑ Set Public Hearing For <br />CONTINUED TO <br />FILE NUMBER <br />Authorize the City Manager and Clerk of the Council to execute a second amendment to the <br />agreement with Active Network for maintenance and support of CLASS software, which will <br />extend the term end -date from November 30, 2016 to November 30, 2017 and increase the total <br />amount under the existing agreement and amendment by $11,965.91 for the renewal period for a <br />total amount of $34,230.88 for the three-year period, subject to non -substantive changes <br />approved by the City Manager and City Attorney, <br />DISCUSSION <br />The City utilizes a software application to process recreational class registrations and facility <br />reservations for its athletic fields, recreation centers and senior centers. The system is essential <br />for operations, but requires on-going maintenance and support from Active Network to be <br />functional. <br />The City purchased the system over 10 years ago. In June 2015, the City entered into its most <br />recent yearly maintenance and support agreement and has amended it once to extend the term <br />end -date. This amendment will extend the term end -date one final time as the software will be <br />obsolete in November 2017. PRCSA has already started the process for selecting new software. <br />The effective date of the agreement amendment will be November 30, 2016, which is when the <br />vendor signed the amendment, before the expiration of the previous amendment. The vendor <br />has continued to provide services on the same terms and conditions. <br />STRATEGIC PLAN ALIGNMENT <br />Approval of this item allows the City to meet Goal #5 - Community Health, Livability, Engagement & <br />Sustainability, Objective #6 (Focus projects and programs on improving the health and wellness of <br />all residents), Strategy C (Integrate a variety of health and wellness programs into existing <br />25D-1 <br />
