REQUEST FOR <br />COUNCIL ACTION <br />CITY COUNCIL MEETING DATE: <br />APRIL 18, 2017 <br />TITLE: <br />AGREEMENT WITH VERITEXT <br />CORPORATION FOR COURT <br />REPORTING SERVICES, LANGUAGE <br />TRANSLATION AND TRANSCRIPTION <br />SERVICES <br />{STRATEGIC PLAN 7, 313} <br />RECOMMENDED ACTION <br />CLERK OF COUNCIL USE ONLY: <br />APPROVED <br />❑ As Recommended <br />❑ As Amended <br />❑ Ordinance on 1s' Reading <br />❑ Ordinance on 2ntl Reading <br />❑ Implementing Resolution <br />❑ Set Public Hearing For_ <br />CONTINUED TO <br />FILE NUMBER <br />Authorize the Acting City Manager and the Clerk of the Council to approve an 18 month <br />agreement with Veritext Corporation, effective July 1, 2016 through December 31, 2017, for court <br />reporting, translation and transcription services for a total not to exceed amount of $75,000, <br />subject to non - substantive changes approved by the City Manager and City Attorney. <br />DISCUSSION <br />Since at least 2010, the City Attorney's Office has used Veritext for court reporting, language <br />translation, and transcription services. These services are used by the City Attorney's Office for <br />depositions, language interpreters for depositions, personnel board hearings, and transcription of <br />audio taped interviews for litigation purposes. The City Attorney's Office utilizes Veritext on a <br />weekly, if not monthly basis depending on need. Veritext provides the City Attorney's Office with <br />the tools necessary to litigate cased filed against the City and conduct Personnel Board hearings. <br />Due to the volume of work over the last year, the City Attorney's Office anticipates that an eight <br />month agreement for $50,000 will be necessary. <br />The City Attorney's Office intends to complete a competitive bidding process for a new contract <br />commencing on July 1, 2017. <br />The agreement includes $10,000 for invoices that were outstanding since August 2016 due to an <br />increase volume in Personnel Board hearings in conjunction with litigated matters. <br />STRATEGIC PLAN ALIGNMENT <br />Approval of this item supports the City's efforts to meet and Goal #7 (Team Santa Ana), objective <br />3B. <br />2513-1 <br />
