City of Santa Ana <br />throughout the project, We believe that it is in our <br />best interest to have our clients fully informed <br />and up to date on our quality control process. <br />Information including design reviews, responses <br />to comments and redline plans can be provided in <br />either hard copy or electronically. <br />We will encourage the City staff to let us know <br />whenever they need more information or whenever <br />they are unsure about the quality control of the <br />project. Our goal is to work with City as partners <br />on the project from Notice to Proceed through <br />completion. <br />V Task 1: Project <br />Agency Coordination <br />Kick -Off Meeting <br />Upon receipt of a written Notice to Proceed from <br />the City, a kickoff meeting will be conducted with <br />the City Public Works Agency staff to review the <br />Scope of Services, develop an overall Project <br />Schedule and confirm the deliverables. The Project <br />schedule should include each task, milestones, <br />critical path designation and a schedule for <br />progress meetings. <br />Multi -Agency Coordination <br />Tetra Tech will coordinate with the involved <br />agencies to obtain their input and include them in <br />all critical decision making. This includes internal <br />City departments as well as external jurisdictional <br />agencies. Based on our understanding the <br />following agencies are project stakeholders and <br />required coordination: Public Works, Water <br />Resources, Parks and Recreation, Building <br />Department, Traffic, Regional Water Quality Control <br />Board, Orange County Water District, Division <br />of Drinking Water, Orange County Flood Control <br />District and adjacent property owners. Per the RFP, <br />we have assumed up to six meetings. <br />Tetra Tech will organize all meetings including <br />preparation of agendas, meeting minutes and <br />distribution of all documentation to all attending <br />parties or as required. <br />Project Milestone/Monthly Meeting <br />Tetra Tech will present regular Project progress <br />report(s) to the City staff each month or as <br />otherwise agreed upon with the Project Manager <br />ensuring that City staff is included in all regularly <br />scheduled progress meetings. Tetra Tech will <br />organize these meetings including preparing <br />agenda(s), compiling meeting minutes, and <br />distributing the minutes to all attending or as <br />required. We have assumed eight (8) meetings. <br />V Task 2. As -Built and Utility <br />Research <br />Tetra Tech will conduct As -Built and utility research <br />within the Project area. Tetra Tech will conduct <br />thorough utility search on the proposed pipeline <br />alignment consisting of: <br />1. Contacting Underground Services Alert (USA) <br />for a computer printout of all utilities registered <br />within the project limits <br />2. Send preliminary notice to each utility <br />requesting utilities information <br />3. Send second utility notice including preliminary <br />plans requesting the utility verify locations of <br />their facilities <br />4. Send third utility notice including final plans <br />to each utility for their information and <br />coordination during construction. <br />We will research all applicable agencies and utility <br />company records and prepare a complete list <br />of all underground and overhead utilities in the <br />Project area. In addition, we will request from the <br />underground and overhead utility companies' near <br />term (next 5 years) improvement information and <br />schedule. <br />Upon completion of all required research of <br />underground and overhead utility companies, we <br />will provide a comprehensive list of information <br />251-18 <br />
