Progress Meetings <br />The TRHA Team will shall conduct periodic <br />progress meetings with the City to ensure <br />satisfactory progress and results. Five one- <br />hour project meetings will be held with City <br />staff to review project issues. These <br />meetings are to be attended by our team's <br />Project Manager, Principal Planner, and up <br />to one additional TRHA Team member. <br />D. Board and Community <br />Presentations <br />At the request of the City, the TRHA Team <br />will conduct presentations regarding the <br />results of the recycled water master plan to <br />City Boards, Commissions and <br />neighborhood community associations. We <br />have assumed three (3), one-hour meetings <br />and one (1) two (2) hour City Council <br />Meeting Presentation. <br />E. Deliverables <br />TRHA will deliver the following for each <br />meeting: <br />1. For each meeting the TRHA <br />Team will provide an agenda <br />three days prior to the meeting. <br />2. For each meeting the TRHA <br />Team will provide meeting <br />minutes three days after the <br />meeting. <br />iV. PROJECT MANAGEMENT & <br />COORDINATION <br />The TRHA Team will not proceed with any <br />work without the approval of the City's <br />designated Project Manager. TRHA will <br />Invoice the City monthly for all work <br />performed during the period. Each invoice <br />will be accompanied by a summary of tasks <br />performed, results and progress on long- <br />term tasks if any. <br />VALUE ADDED RELATED SERVICES <br />TRHA has Identified additional related <br />services that the City has not specifically <br />identified in this RFP to accomplish the <br />stated goals of this RFP. TRHA <br />recognizes that the value added related <br />services will be considered by the City <br />and may or may not be incorporated in <br />the agreement. <br />VAS 1— On-call Funding Assistance <br />The TRHA Team has a long history of <br />working with our clients to obtain project <br />funding. We can assist the City in meeting <br />with funding agencies, filling out funding <br />applications, and answering questions. This <br />can speed the approval process and/or <br />assist in obtaining additional funding. <br />VAS 2— CEQA Clearance <br />The TRHA Team has the capability to <br />develop and assist with California <br />Environmental Quality Act (CEQA) <br />clearance. We have prepared Minimum <br />Negative Declarations for recycled water <br />systems. <br />VAS 3 — Preliminary Design <br />The TRHA Team has the capability to <br />develop and perform a preliminary design <br />on the recycled water facilities and <br />customer conversions. <br />VAS 4 — Division of Drinking Water <br />Engineering Reports <br />The TRHA Team has the capability to <br />develop the Engineering Reports that will be <br />required for each industrial/commercial site. <br />In additional the TRHA Team has <br />successfully developed Master Engineering <br />reports for multiple agencies including but <br />limited to Cities of Fontana, Ontario and <br />San Juan Capistrano, which secure <br />Firm Team, Understanding of Need and Approach, and Scope of Work <br />25A-27 <br />Page 14 <br />
