RECOMMENDED ACTION
Authorize the City Manager to amend the blanket order contracts aggregate amount for vehicle
body repair services in the amount of $125,000 annually, increasing the annual aggregate amount
to $300,000 for the remaining contract term and the remaining one-year renewal option, for a new
contract total amount not to exceed $1,125,000, subject to non -substantive changes approved by
the City Manager and City Attorney.
DISCUSSION
The Public Works Agency Fleet Maintenance Division is responsible for the acquisition,
maintenance, repair, and replacement of City vehicles, trucks, and maintenance equipment. The
City has a fleet of 630 vehicles that, at times, require auto body repair work due to accidents and
operational needs such as painting and refurbishing. Over the last few months, there has been an
increase in police vehicle collisions, requiring the services of auto body repair work providers.
On March 1, 2016, the City Council approved the execution of one-year contracts with Cosmetic
Auto Care, Doffo Automotive Inc., Kelly's Body Shop Inc., Riteway Auto Paint Bodyworks, and Top
Finish Collision Center, with provisions for four one-year renewals for vehicle body repair services,
in an annual aggregate amount not to exceed $175,000. As a result of the above -mentioned
activities, the annual not -to -exceed amount allocated to the Public Works Agency Fleet Services
Division will be exceeded. As such, staff recommends approval of the recommended action to allow
for continuous service through the end of the current contract term, as well as the final subsequent
renewal option. In addition, to avoid any interruption in services, this amendment would cover
services provided as of November 1, 2019.

Approval of this item supports the City's efforts to meet Strategic Plan Goal #6 — Community
Facilities & Infrastructure, Objective #2 (Address deferred maintenance on City buildings and
equipment).
FISCAL IMPACT
Funds in the amount of $125,000 are available in the FY 2019-20 in the Equipment Maintenance -
Garage Operation, Machinery & Equipment account (07517100-62322). Subsequent funding in the
amount of $300,000 will be budgeted and made available in FY 2020-2021 in the Equipment
Maintenance -Garage Operation, Machinery & Equipment account (07517100-62322).
