TOPIC: Amend Citywide Blanket Order Contract for Office Supplies
AGENDA TITLE
Amend Blanket Order Contract with ODP Business Solutions, LLC (Office Depot, Inc.)
for Office Supplies, for a revised not-to-exceed amount of $1,000,000. (Specification
No. 22-061) (General Fund)
RECOMMENDED ACTION
Authorize the City Manager to execute an amendment to increase the Blanket Order
Contract authority with ODP Business Solutions, LLC for the purchase of office supplies
by $75,000 per year for a revised annual amount not-to-exceed $250,000 for the current
contract term expiring May 31, 2024, and three remaining one-year renewal options,
subject to non-substantive changes approved by the City Manager and City Attorney.

DISCUSSION
On April 19, 2022, the City Council awarded a contract to ODP Business Solutions, LLC
for the provision of miscellaneous office supplies, in an annual not-to-exceed amount of
$175,00 per year. Since the launching of the ODP Business Solutions online account,
which enables City staff to source office supplies in a more efficient method, streamlines
ordering of office supplies directly from requesting sites, and offers standard next day
delivery on most items, utilization of the contract has increased significantly. In addition,
ODP Solutions, LLC offers ergonomic essentials such as chairs, keyboards, and wrist
rests at highly competitive prices that have proven to be unmatched. This has led Risk
Management to rely on this contract for their ergonomic needs on a regular basis. In
order to satisfy the growing need of easily accessible office supplies and ergonomic
equipment, staff recommends amending the contract to increase the annual amount by
$75,000 per year, for a revised annual amount not to exceed $250,000, and a total
contract not-to-exceed amount of $1,000,000 for the current term and three remaining
one-year renewal periods.

FISCAL IMPACT
Funding for the current fiscal year is included in the FY23-24 budget. Funding for
future periods will be included in proposed budgets, within various departmental
Miscellaneous Operating Expense accounts (no.63001), for City Council consideration.
