RECOMMENDED ACTION
1.
Amend the contract with American Reprographics Co., LLC d/b/a
Consolidated Reprographics by $15,000 for reprographics service,
for an annual amount not to exceed $55,000.
2.
Renew the contracts for reprographic services for a period of one
year in the annual not-to-exceed amounts as follows:

DISCUSSION
The City's various agencies process numerous Citywide projects.
Reproduction services that are needed include the distribution of plans
and specifications, and the duplication of blueprints. Microfilming of
plans for permanent filing is also required. Miscellaneous materials
are used for training presentations, as are brochures with various
color pages, transparencies, and bookbinding services. The specialized
services are unavailable in-house due to the uncommon size of some
original documents, volume of materials needed, or the necessity of
quick turnaround.

Renewal
On August 19, 2002, the City Council awarded contracts for a one-year
period with provisions for two one-year renewals. The vendors have
performed satisfactorily during the past contract period and have
agreed to the renewal option with no increase in prices. As a result,
staff recommends authorizing the final renewal period.
The award amount is based upon past usage and staff projections for the
next contract period. The contract increase amounts for American
Reprographic Co., LLC d/b/a Consolidated Reprographics and Kinko's Inc.
reflect anticipated higher usage. The amendment to the present
contract with American Reprographics Co., LLC d/b/a Consolidated
Reprographics will allow for payment of outstanding invoices to the end
of the current contract period, July 31, 2004.
FISCAL IMPACT
Funds are budgeted and available in the various
Contractual Services account (object code 6291) .
