RRavnalrDsenlaanboru MEMORANDUM To From: Fred Mousavipour Executive Director Margaret Mercer Administrative Services Manager Date: October 31, 2014 Subject: AGREEMENT EXTENSION — REDLANDS SOFTWARE, INC. / AGMT. #A- 2012 -190 The Public Works Agency entered into an agreement with Redlands Software, Inc., on September 4, 2012, to provide GIS programming and technical services. The consultant has worked closely with Trevor Burgan (GIS Administrator) to complete a number of projects, including programming for the updated Electronic Data Management portal which integrates our digital drawings with the Laserfiche data repository, and performing data translation for the migration to the Esri GIS platform. Agreement No. A- 2012 -190 expires today, October 31. However, since Administrative Services has an assignment to re- analyze the PWA GIS Services, and preparations are underway for the Citywide IS audit, now would not be the appropriate time for an RFP. Instead, the agreement has been extended for 90 days to allow for continued service. During this time extension, the consultant will be completing the documentation for the programming services already completed and providing on -call technical assistance, as needed. After payment for October 2014 services rendered, there will be $15,150 remaining in the approved agreement allocation. This request is for a time extension only; no additional funding is required.
