Huitt-Zollars reviewed the RFP and provides the following as a supplemental sample scope of services. Design plans and reports would follow <br />the City's standard format. <br />1 AS K A: Project Management and Coordination - After contract award HZ will prepare a Project Work Plan (PWP) and schedule a kick-off <br />meeting. The PWP will be provided to the City for review and comment prior to the kick-off meeting date. Said PWP will expand on: <br />» Design Team (City of Santa Ana/HZ/Consultants) <br />» CADD Standards <br />» Scope of Work/Deliverables <br />» Drawing List <br />» Applicable Criteria/Standards/Codes <br />» Specification Requirements <br />» Schedule/Milestones <br />x Design Budget(s) <br />D Quality Control/Quality Assurance <br />» Value Engineering (Construction Budgets) <br />During the kick-off meeting the development team will review the PWP, identify key staff, and establish lines of communication. The PWP will be <br />updated per comments provided during the kick-off meeting and publish with the City's approval. The published PWP will be used by the project <br />manager to monitor the project during design. <br />Starting from the date of kick-off meeting, Huitt-Zollars will be responsible for project management and coordination of the project. This <br />includes: <br />» Development team meetings between the City of Santa Ana and consulting team <br />» Meetings with affected community members, stakeholders, and utility companies <br />Sample list: <br />City of Santa Ana (Water Sewer, & Storm) <br />Orange County Sanitation District <br />Union Pacific Railroad <br />Southern California Edison <br />Southern California Gas <br />AT & T <br />Time Warner Cable <br />Santa Ana Unified School District <br />Preparation of progress reports to the City of Santa Ana <br />Monitoring the design elements and schedule per published PWP <br />Securing permits — HZ will coordinate with agencies involved in the project, prepare, <br />and file to acquire required permits on behalf of the City of Santa Ana. <br />TASK t3: Records Research—The utility list will be compared to findings from Underground Service Alert, All Utility agencies will be contacted <br />to gather and review available record data. Record information will be evaluated against the survey and compiled into a master Vill CADD file. <br />HZ will evaluate "record" information against proposed facilities to pinpoint potential conflicts. All potential conflicts will be tagged for further <br />Investigation during the pothole investigation. <br />TASI( C: Survey—The overall topography Includes a design survey that captures surface information within the right-of-way and an aerial that <br />extends the topography beyond the right-of-way to capture private property features. It is assumed that the topography limits will be sufficient <br />for design. The City will also provide the record boundary that will be necessary to evaluate right-of-way and property encroachments, <br />Prior to commencing design the project manager and key personnel will walk the site to evaluate the topography and record information against <br />the existing condition. HZ will review the topography against visible utility features, notate SCE power pole number tags, control panel types, <br />traffic signal types, and most arm lengths, The information will be compile into the master Micro -Station CAD file for discussion prior to the <br />design phase. <br />UI 1 l'ODLAly City of Santa Ana Civil Engineering Services: RFP 17-063 16 <br />
