SCOPE OF SERVICES AND SCHEDULE <br />SCOPE OF SERVICES <br />Task 1 Project Management & Coordination <br />KOA will manage the project, providing direction <br />throughout the project except where City <br />involvement is required. KOA will coordinate <br />between City staff, subconsultants, other affected <br />agencies, and utility companies. KOA will prepare <br />meeting agendas and minutes for every meeting, <br />and provide progress reports on the schedule <br />updates as needed. KOA will also be responsible for <br />securing permits as needed for the construction of <br />the project. <br />It is anticipated that all coordination efforts for the <br />project will require communication via e-mail, phone, <br />or in -person meetings on an as needed basis. <br />At the kick-off meeting with City staff, KOA will <br />establish a clear understanding of the roles and <br />responsibilities, contacts, scope of work, and <br />schedule. It is our recommendation to conduct <br />monthly progress calls throughout the course of the <br />project to provide status updates, discuss pending <br />issues, and streamline the project schedule. At the <br />on -set of the project, KOA will request boilerplate <br />CADD, Standard Special Provisions, estimates, and <br />standard plans from the City. <br />The preliminary schedule is submitted with this fee <br />proposal. KONs PM will work with the City of Santa <br />Ana PM to refine the schedule, milestone submittals, <br />and allotted times for City review. The team will <br />agree upon the methodology to control/manage the <br />schedule and budget. The KOA PM will work with <br />the City PM for invoicing, progress reports, and <br />budget control. <br />Deliverables <br />• Meeting agendas <br />• Meeting minutes <br />• Progress reports <br />• Schedule updates in Microsoft Project <br />• Permit applications and plans <br />KOreo, A <br />Task 2 Obtain Record Drawings & As -Built Plans <br />Task 2.1 Records and Utility Research <br />KOA will obtain from the City records drawings and <br />as-builts for the project area, including right-of-way <br />information and cumulative projects that may affect <br />the project area. The City will be responsible for <br />sending out and obtaining utility notices. KOA will <br />continuously coordinate with the City to obtain and <br />record responses to utility notices. We will obtain <br />from staff the current design standards. Base plan <br />information and proposed street improvements for <br />the subject location will also be obtained from City <br />records, or other relevant records. <br />The utility research and coordination efforts on the <br />project will consist of the following: <br />• Obtain plans showing location and size of <br />all utility lines and appurtenances within the <br />project area. <br />• Plot utility lines on Base Map <br />• Upon establishing the proposed improvements, <br />determine where potential utility conflicts exist <br />and where utility relocation is warranted. <br />• Coordinate with affected utility companies <br />regarding conflicts, relocations and <br />improvements. This coordination effort will <br />require providing updated plans to the utility <br />agencies for the proposed improvements and <br />also meeting with the various utility service <br />planners on the project site, as necessary, to <br />discuss conflicts and/or relocations. <br />2.2 Survey <br />Guide Surveying, Inc., our licensed land surveyor, <br />will be responsible for all survey work. For bike <br />boulevard projects, it is anticipated that topographic <br />and point surveys will be required to a minimum 50 <br />feet from the beginning of the curb return (BCR) <br />at three intersections (9th, 10th, 11th), intersection <br />surveys will be taken up to the BCR at five locations <br />(8th, 12th, 14th, 15th, and 16th). For the intersection <br />of Main Street and 15th Street, surveys will be taken <br />only at the corners. <br />The field survey will include all visible surface <br />BUSH STREET BICYCLE BOULEVARD DESIGN SERVICES <br />RFP NO. 18-072 <br />. 0. <br />
