TO PROVIDE <br />LANDSCAPE MAINTENANCE SERVICES <br />AT THE CITY OF SANTA ANA CIVIC <br />CENTER FOR AN ANNUAL AMOUNT OF <br />$609,151.40 (TOTAL NOT TO EXCEED <br />$2,436,604.60) FOR THE PERIOD <br />FEBRUARY 1, 2020 TO JANUARY 31, 2024 <br />TO BE FUNDED BY THE CIVIC CENTER <br />FUND <br />{STRATEGIC PLAN NO. 6, 1B} <br />CLERK OF COUNCIL USE ONLY: <br />APPROVED <br />❑ <br />As Recommended <br />❑ <br />As Amended <br />❑ <br />Ordinance on 111 Reading <br />❑ <br />Ordinance on 2ntl Reading <br />❑ <br />Implementing Resolution <br />❑ <br />Set Public Hearing For <br />CONTINUED TO <br />/s/Kristine Ridge FILE NUMBER <br />CITY MANAGER <br />RECOMMENDED ACTION <br />Authorize the City Manager to execute an agreement with Landscape West Management Services, <br />Inc. to provide landscape maintenance services at the City of Santa Ana Civic Center for an annual <br />amount not to exceed $609,151.40, which includes a 10 percent contingency, for the period from <br />February 1, 2020 to January 31, 2024, for a total agreement amount of $2,436,605.60 to be funded <br />by the Civic Center Fund, subject to non -substantive changes approved by the City Manager and <br />City Attorney. <br />DISCUSSION <br />On October 7, 2019, Parks, Recreation and Community Services Agency (PRCSA) issued a <br />Request for Proposal (RFP) for the four landscape maintenance districts, the Santa Ana Zoo at <br />Prentice Park and the Civic Center. The City notified 215 companies (26 Santa Ana companies), 31 <br />companies downloaded the documents (4 Santa Ana companies), and two companies submitted <br />proposals (zero Santa Ana companies) to provide landscape maintenance services in the Civic <br />Center. <br />An evaluation committee consisting of one representative from PRCSA Park Facilities Division and <br />two representatives from the Public Works Agency reviewed and rated the proposals. The <br />proposals were evaluated according to the criteria listed in the RFP, which includes firm/team <br />experience, reference/relevant project experience, listing of resources, manner for performing <br />services/schedule and fee.
