Epic Land Solutions, Inc. <br />Proposal for City of Santa Ana — On -Call Right of Way Coordinator <br />Project Management <br />Project Manager, Eddie Quintero, will deliver the City's task assignments by managing right of <br />way valuations and the acquisition process from start -to -finish. Eddie's tasks will include <br />preparation and maintenance of a detailed project schedule, maintenance and quality control of <br />acquisition files, periodic progress reporting, and facilitation of regular internal meetings and client <br />status meetings. In summary, EPIC's project management services control quality, budget, and <br />delivery schedule. EPIC believes in providing the client with on -call availability and dedication <br />throughout the life of the project. <br />Our team will deploy the following procedural innovations and technological efficiencies to deliver <br />outstanding services to the City: <br />A* <br />X Subconsultant <br />X Management <br />We create contractual <br />agreements and Task Orders <br />with third -party vendors and <br />subconsultants that highlight the <br />exact expectation of the <br />assignment. Throughout the <br />project, we continue to stay in <br />close contact with the subs to <br />ensure they are on -schedule <br />and have the correct project <br />information for their deliverables. <br />Schedule Controls <br />Communication is key to staying 0n- <br />schedule. Project Manager, Eddie, will <br />lead regular, consistent internal meetings <br />with the right of way agent team, and <br />project meetings with the City, to discuss <br />project status and schedule concerns. <br />The PM will consistently monitor project <br />schedules with tools like real-time <br />diaries, Status Reports, and consistent <br />check -ins with agents and the City <br />project manager. <br />Quality Control Plan <br />Our QA/QC Plan integrates a three -tiered <br />approach to quality management that <br />involves all levels of staff relying on tested <br />procedures and proven tools--inculduing <br />file structures, QA/QC checklists, and <br />manager spot-checks and audit <br />procedures --to ensure quality control at <br />every phase of the right of way <br />acquisitionand relocation process. <br />O <br />"Guess -Free" Cost Containment <br />EPIC uses BST Global software for time -and -materials <br />budget tracking. We currently uses the system to invoice <br />250 active projects per month.. All EPIC staff are required <br />to maintain weekly timesheets to track all time dedicated <br />Cato project, which provides both budget and schedule <br />control to stay on track with project goals. At any point, <br />management can view the time being spent on any <br />Nuaw project. Weekly review of budgets makes the task <br />seamless and allows our teams to stay in front of any <br />budget issues. We take pride in "pricing it right the first <br />time," creating a Not -To -Exceed project budget that <br />mitigates the need for change orders. <br />Document Management <br />The foundation of effective project management in real <br />1 estate is document management. EPIC maintains and <br />backs up all project files in Microsoft SharePoint and has <br />developed project sites and workflows in the tool to <br />accommodate and collaboarate on the acquisition and <br />relocation processes. The tool also provides document <br />control in a secure, redundant cloud environment that <br />participants —including City staff —can access any -time, <br />from anywhere. <br />Epic Land Solutions, Inc.
