Public Works Agency <br />www.santa-ana.org/public-works <br />Item # 29 <br />City of Santa Ana <br />20 Civic Center Plaza, Santa Ana, CA 92701 <br />Staff Report <br />August 20, 2024 <br />TOPIC: Landscape Maintenance Services for Water Facilities and Corporate Yard <br />AGENDA TITLE <br />Agreement with Mariposa Landscape Inc. for Landscape Maintenance Services at <br />Water Production Facilities and the Corporate Yard (Specification No. 24-018) (Non - <br />General Fund) <br />RECOMMENDED ACTION <br />Authorize the City Manager to execute an agreement with Mariposa Landscape Inc. for <br />landscape maintenance services for a three-year term beginning August 20, 2024 and <br />expiring August 19, 2027, with a provision for two, one-year renewal options, for an <br />aggregate amount of $695,760, including a contingency of $160,560, for the term of the <br />agreement, including renewal options exercisable by the City Manager (Agreement No. <br />A-2024-XXX). <br />GOVERNMENT CODE §84308 APPLIES: Yes <br />DISCUSSION <br />The Public Works Agency (PWA)'s Water Resources Division is responsible for <br />landscape maintenance at 26 water enterprise facilities, such as well sites, pump <br />stations, and the Corporate Yard. Landscape maintenance services include mowing, <br />weed mitigation and removal, trash removal and disposal, and irrigation system <br />maintenance. In addition to these routine maintenance services, the proposed <br />agreement includes repairs and renovations/beautification on an as -needed basis at the <br />sites outlined in the RFP as requested by staff. To allow for such repairs and <br />renovations/beautification projects, the proposed agreement includes a contingency <br />amount of $160,560, or approximately 23% of the base compensation amount of the <br />agreement. <br />On March 11, 2024, PWA issued Request for Proposals (RFP) No. 24-018 (Exhibit 1) <br />for landscape maintenance services at 26 water facilities and the City's Corporate Yard. <br />The RFP was advertised on the City's PlanetBids website. Fourteen bids were received <br />and six were determined to be responsible and responsive to the specifications and mei <br />the City's requirements. Six proposals were evaluated by a selection committee based <br />on the criteria as outlined in the RFP. Below is a summary of the RFP results. <br />
