<br />CITY OF SANTA ANA <br />CITY COUNCIL COMMITTEE ON <br />TECHNOLOGY <br /> <br />Minutes of Regular Meeting <br />September 25, 2003 <br /> <br />CALL TO ORDER <br /> <br />The meeting convened at 5:42 p.m. in the First Floor Conference Room, Ross Annex, <br />20 Civic Center Plaza, Santa Ana, California <br /> <br />ATTENDANCE <br /> <br />City Council Committee members present: Claudia Alvarez and Lisa Bist <br /> <br />Staff members present: Tom Gergen, Information Systems Manager; Pat Healy, <br />Clerk of the Council; Gerardo Mouet, Assistant Director, Parks, Recreation and <br />Community Services Agency; Mike Lewellen, Manager, Computer Services, Santa Ana <br />Police Department; Sergeant Kevin Brown, SAPD; Bruce Fruchter, Information <br />Systems; Rob Richard, Library Director; Ben Kaufman, Chief Assistant City Attorney; <br />and, Alma Flores, Senior Management Assistant, City Manager's Office <br /> <br />AGENDA ITEMS <br /> <br />Approval of Minutes for Meeting of July 17, 2003 (Alvarez, Bist) <br /> <br />Document Imaging Project Update <br /> <br />Pat Healy and Bruce Fruchter presented an update and a demonstration of the <br />Clerk document imaging project. Highlights of this presentation are as follows: <br />. Document imaging steering committee formed in 2002 to provide direction to <br />the City's evolving implementation of document imaging technology <br />. City Clerk designated the lead on the steering committee <br />. Committee selected small pilot project in the Office of the Clerk <br />. Council approved funding in December, 2002 <br />. LaserFiche Imaging Software was selected <br />. The following documents were scanned into the LaserFiche system from <br />1886 to Present: Minutes, Resolutions, and Ordinances <br />. The following documents were scanned and indexed from January, 2003 to <br />the present: Agendas, Agenda Packets, and Contracts <br />. System provides backup of vital City records <br />. Provides more expedient document retrieval <br />. Allow multiple access to documents <br />
