Proposal for Parking Citation Services City of Santa Ana — November 5, 2008 <br />prepare the scheduling of the hearings. Upon receipt of the request, PHOENIX GROUP <br />will: <br />1. Suspended all processing of the citation, <br />2. Enter the payment information (see note 1 and 2), <br />3. Establish an administrative tracking record to capture all information, <br />4. Prepare a hearing date, <br />5. Notify the violator of the hearing, and <br />6. Prepare a hearing schedule for the hearing officer. <br />Note: 1. The Deposit will be reflected in the Revenue Detail Report and the Revenue <br />Distribution Report. Any applicable surcharges due to CITY will be included. In the <br />event the payment is refunded, the system will account for a refund and back out of the <br />payment during the month the refund occurs. This will deduct the payment and adjust <br />the number of payments applicable for the surcharges. The same procedure is followed <br />for NSF, bank returned checks. <br />2. The hearing request will be established to meet the guidelines set by CITY. - <br />In the event the Violator does not appear for the scheduled hearing and has deposited <br />the fees due for a hearing, the fees have been deposited and will clear the citation with <br />no further processing necessary, or the need to keep track of multiple accounts. The <br />system will retain the scheduled appearance date and the citation fees deposited. <br />PHOENIX GROUP customer service clerks will determine if the Violator has <br />followed the time lines, and any procedures that have been established or set -up <br />by CITY. <br />PHOENIX GROUP will direct the violator with any and all information required by CITY, <br />including but not limited to crediting the deposit of fees, time limitations or other <br />correspondence as required or needed to proceed with the hearing prior to forwarding <br />to CITY. <br />2.27 Hearing Scheduling - <br />As an option, Phoenix Group will schedule the hearings once the violator has meet all <br />45 <br />
