Significant challenges or upcoming <br />issues will be identified, potential schedule impacts will be highlighted and recommendations for keeping <br />the project on schedule and within budget will be presented. <br />A project invoice will be included with each month's progress report. The preferred format will be defined <br />with the City's project manager. The template for the monthly invoice will be included in the PMR The <br />invoice will document the staff hours that were worked by each member of the IBI team during the previous <br />month. The approved hourly rate for each individual will be used and resulting monthly charge for each <br />individual identified. The invoice amount will be clearly identified along with a summary of the cumulative <br />charges to date by task. <br />Asvftib, Deliverables: <br />lug • Monthly progress report and invoices submitted in both hard copy (via regular mail) and electronic format <br />(via email) <br />Task 1.G Computerized Project Folder <br />Objective: To provide a central computerized project folder accessible to team members via the internet. <br />Approach: Upon NTP the IBI Team will make available a computerized project folder to store, catalog and <br />make available project information. We will provide password protection and routine maintenance of the <br />project site. The project folder will contain documentation relating to the SARTC Matster Plan including the <br />project master schedule, project management plan, progress reports, correspondence, meeting agendas <br />and notes, reports, maps, photos, drawings, project deliverables and deliverables log. The computerized <br />folder will include an index and navigation tools to facilitate document retrieval. Upon completion of the <br />project, all contents will be backed up on to DVD-ROM discs and provided to the City. <br />We are proposing the use of IBI Groups's Central Desktop is a collaboration platform. It is internet browser <br />based and works on most browsers and operating systems without requiring any downloads or plug- <br />ins. It is based on proven and secure "open source" technologies. The data is stored in a highly secure <br />data center in Pasadena, California. It uses the Akamai's global web acceleration framework for speedy <br />interaction from any part of the globe. IBI's Central Desktop is particularly suitable for project collaboration <br />due to its easily understandable, secure, and web-based interface. <br />Deliverables: <br />9 Computerized project folder accessible to the City and team members via the internet
