work for the project. Any additional tasks deemed necessary by the Consultant shall be clearly <br />identified in the proposal. <br />A. Management and Administration <br />The Consultant is fully responsible for the overall project management, administration and <br />coordination for the project, including but not limited to the following: <br />Management and Coordination — The Consultant shall be the liaison with affected <br />agencies, monitor project progress and maintain project files. Other responsibilities <br />of the Consultant include supervising, coordinating, monitoring and reviewing design <br />for conformance with Caltrans and local agencies standards, policies and procedures. <br />2. Meetings — Project Development Team (PDT) meetings shall occur on a regular basis <br />with all stakeholders and will be held at the City of Santa Ana. The Consultant shall <br />send out the agenda and any necessary communication documents a minimum of two <br />(2) business days in advance, prepare and distribute meeting minutes, new action <br />items and disposition of previous action items and other communication documents <br />within five (5) business days after the meeting to all attendees and invitees. The <br />Consultant shall identify any additional meetings they deem necessary. <br />Progress Reporting - Progress reports shall be submitted at monthly intervals, <br />indicating progress achieved during the reporting period in relation to the progress <br />scheduled. The Consultant shall provide the City with one (1) copy of the progress <br />report. <br />4. Project Schedule — The Consultant shall prepare the project schedule in Microsoft <br />Project format utilizing the Caltrans Work Breakdown Structure (WBS). The project <br />schedule shall be updated on a regular basis and distributed at the PDT meetings. <br />B. Research & Data Collection <br />The Consultant shall research and collect information related to the project site, including <br />existing field conditions, as -built plans and record drawings, reports, agreements, right-of- <br />way data, and all future improvement plans adjacent to or affecting the project site. <br />C. Environmental Clearance Preparation <br />The Consultant shall be responsible for reviewing and determining whether the information <br />and analyses from the EIS / EIR and technical reports remains valid. The Consultant shall <br />update any necessary data and prepare all applicable documents to ensure that the <br />environmental documents comply with the requirements of CEQA and NEPA. <br />V. GENERAL REQUIREMENTS <br />A. All work shall be performed in conformance with the latest City of Santa Ana and State of <br />California policies, procedures and standards. <br />B. Consultant shall carry out the instructions received from the City of Santa Ana and shall <br />cooperate with the City of Santa Ana and other involved agencies. <br />
