The Program Coordinator is responsible for coordinat i ng <br />al l matters conce rni ng daily operations that involve participants (clients) i n our programs i ncluding; screening <br />r eferrals, schedu ling client appointments, making reminde r phone ca lls, directing clients in quiries to the <br />appropriate program, creati ng and distributin g trai n ing schedules, workshop flyers and sig n-in shee t s, <br />co rrespo nd ence w ith partner age ncies, data entry, filing, coordination of specia l eve nts with other duties as <br />assigne d. (Incl ud ing ass ist ing at the front desk reception area w ith the ph ones and vis itors on occas ion .) <br />The Clie nt Serv ices Program Coo rdi na t o r is profes sional, well organized, has exce llent MS Office sk ills and ha s a <br />des i re to be proact ive and create positive expe ri ences for others as the voice and face of Worki ng Wardrobes' <br />Cli ent Services Department. Prof essiona l i nterpersonal skills, inte raction and follow-up w ith all program <br />participants is an esse ntial fun ct ion of this important pos it ion. <br />DUTIES AND RESPONSIBILITIES <br />Client Services Program Coordinator ha s direct client co ntact and respo nsib ility for f u rtherin g awareness of <br />Working Wardrobes to se rve more individuals in our comm unity including: <br />ADMINISTRATIVE <br />• Perform office ta sks such as; ans weri ng incom in g ca lls from potential and current clients, filing and file <br />manageme nt, creating PowerPoint presentations, tracking cl ie nt i nformation and data entry throu gh <br />var ious systems, set-up room for meetings, order supplies and supportive service cards <br />• Arrange and assist with virtual co urses usin g Zoom , WebEx or other virtual platforms <br />• Deve l op and maintain externa l agency partnerships with a goa l of increasing revenue for the organization <br />• Mainta in operations by in itiati ng, coordinating, and enforcing prog ram, operational, and personne l <br />policies and proced ures in accordance w ith all gran t and contract requi rements <br />• Pa rti cipate in weekly staff and t eam meetings, required training and other programs as requested. <br />• Commun ication w ith clients by co nducting screenings and sc heduling appointments. <br />• Serves as a liaison to vol unteer Caree r Coaches by on boarding and managing their sched ule. <br />• Greets and welcomes all clients for sc hedu led appo i ntments <br />• On occas io n w ill se rve as back-up to the front desk, answering and directing calls that are forwarded from <br />the m ain phone line <br />• Event schedu ling, execution, and eva lu ating for improvement and success for g raduations, client <br />wo rks hops, an d training <br />Updated March 202 5 <br />16 <br />EXHIBIT 2 <br />  <br />  <br />City Council 10 – 202 7/1/2025
