Residential Relocation Services shall include: <br />• Prepare "Relocation Package" in accordance with City approved format. <br />• Provide advisory services <br />• Interview displaced persons <br />• Distribute Relocation Packages in accordance with City staff directives. <br />• Inform displaced persons of available relocation assistance, the relocation process and <br />benefits. <br />• Search for relocation sites and provide referrals of sites to displacees. <br />• Prepare and distribute informational brochures and other required notices and <br />documents. <br />• Provide referrals and advice <br />• Determine relocation eligibility and amount for relocation benefits. <br />• Review entitlement packages in accordance with applicable rules and regulations. <br />• Review requested moving entitlements. <br />• Inspect replacement dwellings. <br />• Thoroughly document all contacts with the displacee. <br />• Prepare and transmit to the City all applicable invoices and relocation claim forms. <br />• Prepare and deliver residential entitlement letters and other required documents. <br />• Provide status reports to City staff. <br />• Advise and update City staff on various aspects of state and federal relocation law. <br />Business Relocation Services <br />Consultant shall meet with owners of businesses within a reasonable time after the offer to <br />purchase has been made and interview them to complete the Displacees Needs Questionnaire. <br />Collect data regarding the type of business, work schedule, number of employees and the <br />owner's proposed plans. Provide advisory assistance. <br />• Determine potential eligibility for moving payments by reviewing eligibility criteria and <br />case data. <br />• Personally contact the displacees and present required forms and explain in detail the <br />options for payment of reasonable moving expenses. <br />• Extract from appraisal report information regarding improvements that have been <br />acquired so as to eliminate them from consideration in determining moving expenses. <br />• Review and approve the compilation of a certified personal property inventory. <br />• Interview the displacee again to identify in detail displacee's needs, desires, and issues. <br />• Summarize all interviews, contacts and contact attempts in diary for official record. <br />• Provide assistance in locating a suitable replacement site. <br />• Monitor the move as much as feasible to determine that all items are moved that should <br />be moved and that no items are moved that were purchased during the acquisition of the <br />property. <br />• Collect supporting documents and submit payment of moving expenses. <br />• Determine what expenses are necessary and eligible as reestablishment expenses. <br />• Inspect the replacement property, obtain cost estimates, discuss the issues with the <br />Page 19 of 48 <br />19H-21
