TASK 1: PROJECT MANAGEMENT AND <br />MEETINGS <br />Objective: To provide overall project management, coordination, and supervision <br />of project staff and to facilitate the performance of the work in accordance with the <br />scope and requirements of the City of Santa Ana. <br />Key Issues: Completion of the Circulation Element update within a 16 month <br />timeframe will require diligent and focused project management to organize the <br />technical work, agency coordination, and community outreach efforts. We will work <br />hand in hand with City of Santa Ana to achieve the project objectives within the <br />desired timeframe. <br />Approach: Our management approach for the project is centered on regular <br />contact between the IBI project manager and the city's project manager to discuss <br />and review the project process, deliverables, and major meetings. The primary <br />elements of the management task are discussed in the subtasks below. <br />TASK 1.1 GENERAL PROJECT MANAGEMENT <br />IBI Group is the prime consultant for this assignment and will be responsible for the <br />day -to -day management of the project, as well as review and oversight of all <br />deliverables. <br />Within two weeks of receiving Notice to Proceed, we will schedule a Project Kick -Off <br />Meeting with city staff. This meeting will provide a forum for introducing the entire <br />project team and agency contacts, reviewing project assignments, establishing lines of <br />communication and procedures /protocol, reviewing project scope and approach, <br />presenting and discussing project issues, reviewing schedule and discussing critical <br />path items. <br />We propose to then conduct monthly project management meetings with the <br />consultant team and Santa Ana through the duration of the project. <br />TASK 1.2 PROJECT SCHEDULE AND TRACKING <br />The foundation of a well -run project is the schedule.
