• Folder Structure — A top -level "Fire" folder will be created which will contain a "Property <br />Information" sub - folder which will contain number and alphabet sub - folders for the beginning of <br />the street name from the fiche jacket. The folder structure will look as follows: <br />\Fire <br />Property Address <br />01 <br />02 <br />21 <br />A <br />B <br />Z <br />• Indexing — The "Fire" index template will be used with the following fields populated. <br />Field Value <br />Document Type Property Information <br />Street Number Address Number <br />Direction Street Direction if Indicated (List Values: N. S. E. W.) <br />Street Name Street Name <br />Street Suffix Street Suffix if Indicated (i.e.: St., Ave., Ln., Blvd., Cir., Way, Dr., PI.) <br />Unit /Suite # Unit or Suite # if Indicated <br />Quality Control <br />After documents are scanned, the images and metadata (i.e.: index fields, document name) will be <br />reviewed for quality review. With the originals documents in hand the following tasks will be <br />performed: <br />1. Search for any missing pages <br />2. Arrange documents in order, as instructed. <br />3. Ensure images were scanned properly by randomly viewing images of every document. <br />4. Select scanned images to be printed for comparison with original document. <br />5. Check for proper data entry. <br />Document Turn - Around <br />COSA and Accuflex will coordinate batch sizes, so scanning turn - around time will be around 1 — 3 weeks. <br />Longer turn - around time is possible if agreed upon by COSA. <br />If a document is out for scanning and COSA needs to access it, COSA will make a request to Accuflex and <br />Accuflex will produce the document electronically within 4 business hours. <br />Requests may be placed by authorized COSA staff via email, phone, or fax.
