7) Arrange for hospitality and VIP services as may be required and coordinate with <br />PRCSA to provide such. <br />8) Ensure that all service vendors and sub - contractors have the capacity to provide <br />adequate staff for their areas of responsibility, including a sufficient number of well - <br />trained staff with decision- making authority during the event to handle on -site <br />logistical problems that may arise and to supervise on -site workers to mitigate late <br />night noise and other disturbances. <br />9) Pay for all event planning and management costs. <br />Revenue and Sponsorship <br />1) Develop and implement a sponsorship campaign and other revenue generating <br />endeavors to raise sufficient funds to cover all event costs, including City and other <br />agency costs. <br />2) The revenue generation plan may include sponsorships, exhibitor sales, food, <br />merchandise, booths, concessions and ancillary revenues and must be submitt <br />ed to <br />PRCSA 30 day prior to the first screening for final approval. <br />3) Acknowledge the City of Santa Ana, PRCSA as Title Sponsor in all print and online <br />promotional materials and make every effort to acknowledge PRCSA's contribution in <br />media interviews, public service announcements and other sponsorship recognition <br />opportunities. <br />4) Update sponsor benefits defined in Producer's Proposal of Services (Exhibit A) and <br />submit to PRCSA by July 2, 2012 for final approval and ensure that all sponsor benefits <br />are delivered as promised. All sponsorship agreements must be approved by PRCSA <br />prior to contracting sponsor benefits relating to the use of public spaces such as flag <br />poles, banners, and City facilities. City retains the right to approve all sponsor material <br />which identifies the City by name, logo or City seal. <br />5) Submit to PRCSA 30 days prior to the event start date a list of all confirmed partners <br />and sponsors. Submit changes to PRCSA as they occur. <br />6) Submit to PRCSA two weeks prior to their use, all sponsorship acknowledgements <br />including radio and newspaper ads as well as any materials and announcements. <br />7) Pay for all sponsorship benefit costs. <br />Marketing and Communications <br />1) Update the marketing and communications plan and timeline submitted in Producer's <br />Proposal of Services (Exhibit A) to reflect the contract start date and submit to PRCSA <br />by July 2, 2012 for final approval. <br />2) Develop and implement a Customer Relations plan that will provide effective and <br />relevant communications to merchants, residents and others within the event <br />boundaries to provide advance notice of event activities and to mitigate problems that <br />may arise. <br />3) Develop event marketing materials such as programs, rack cards, posters, print ads, <br />banners and signage, press releases, and advertising for the event and submit to PRCSA <br />at least 72 hours prior to their use for final approval. All promotional materials shall <br />include the City logo. <br />4) Produce and distribute information and marketing materials as defined in Producer's <br />Proposal of Services (Exhibit A) and according to approved revised timeline. <br />5) Sponsorship by alcohol product companies shall be allowed subject to pre - approval by <br />City. Absolutely no direct tobacco product advertising shall be allowed within or <br />associated with the Film Fiesta. Neither tobacco product advert <br />ising nor alcohol <br />product advertising shall be distributed to minors. <br />
